About the role

Aim:

As Principal Gifts Coordinator, you will assist in managing relationships with donors who have supported or are considering transformational gifts for kids' health. Collaborate with the Principal Gifts team, supporting curated donor experiences and engagement across the Sydney Children’s Hospital Network. Responsibilities include project support, donor engagement, research, and database administration. Join us in making a difference in children's health philanthropy!

Key Relationships:

Key Relationships include collaboration with internal teams such as the Philanthropy team, Supporter Care, CRM (TED) Team, and the Brand Marketing & Communications Team and Donor and Patient Engagement Team (DOPE). Externally, interactions involve donors, prospective donors, hospital staff, and suppliers.

Key Responsibilities:

  • Undertake all activities in line with department and Foundation policies, procedures, and guidelines.
  • Provide administrative support for donor care to the Principal Gifts Team.
  • Ensure timely completion of request for funds documentation, in consultation with the relevant team member, ensuring opportunities for donor engagement are maximised and donor interests are met.
  • Identify, record, and manage donor follow-up actions to achieve KPIs and enhance relationships.
  • Proactively manage donor interactions, escalating when necessary.
  • Communicate confidently and sensitively with stakeholders at all levels.
  • Assist in organising projects, monitoring progress, and overseeing engagement strategies.
  • Support fundraising events and campaigns, including after-hours commitments.
  • Maintain accurate database records and collaborate to identify new prospective donors.
  • Respond to new donor inquiries and maximize their engagement with the Foundation.
  • Research and understand prospective donors to inform proposals and meetings.
  • Partner with teams across the business to meet donor needs and expectations.
  • Promote broader support opportunities within the Sydney Children’s Hospitals Network.
  • Apply strong interpersonal and administration skills to manage fundraising relationships.
  • Update CRM records promptly and resolve issues sensitively.
  • Create and manage reports from the CRM database.
  • Collaborate across teams to support data gathering and preparation for donor interactions.
  • Coordinate schedules of key staff for donor meetings, events, and tours.

Requirements and Qualifications:

  • Bachelor's degree qualification and 1-2 years of professional experience desirable
  • Experience in donor, stakeholder, or customer-focused administration, showcasing strong customer service skills and meeting deadlines.
  • Ability to interact with internal and external stakeholders in a professional, sensitive, and pleasant manner, both face-to-face and over the phone.
  • Advanced time management, organisational and administration skills, including high attention to detail and the ability to set priorities in an environment where multiple competing priorities are present.
  • Proficient computer skills in the use of Customer Relationship database Salesforce preferred, and Microsoft Office suite (Word, Excel and SharePoint).
  • Demonstrated ability to work effectively as part of a team and to collaborate across teams to achieve enhanced outcomes, including a demonstrated ability to adapt to changing circumstances, work processes and working hours.
  • Demonstrated high standards of integrity, ethics, judgement, and confidentiality.
