SalarySupporting our City of Sydney contract, Ventia is looking for an experienced Project Administrator to join our dynamic team in Town Hall, Sydney CBD. The successful candidate will be working closely with our Project Managers and Senior Project Manager to support delivery of comprehensive action plans including resources, timeframes, and budgets for projects.
This is a full-time, permanent position working Monday to Friday 8am - 4pm. The position offers $80,000 - $90,000 TFR.

- Tertiary qualifications in project management preferred but not essential.
- Proven experience in a project, construction administration or similar support role
- People skills with ability to build meaningful relationships.
- Previous experience in working with multiple stakeholders in support of developing project objectives and requirements.
- Solid organisational skills, including multitasking and time-management.
- Ability to solve problems efficiently with a high attention to detail.
- Strong working knowledge of Microsoft suite packages (Work, Excel, Outlook, etc).
- Knowledge of file management, transcription, and other administrative procedures.

- Prepare action plans, report analysis of risks and gather required resources.
- Financial reporting, cashflow and data management.
- Email management, taking meeting minutes, general admin support.
- Support the delivery of each of the activities noted in the Project delivery processes.
- Support the formulation of project management plans addressing Scope, HSE and Quality outcomes, for approval by Senior Project Manager
- Implement time saving initiatives to accelerate project delivery within appropriate risk tolerances.
- Support delivery of monthly Project review meetings for each project.
- Ensure hand over manuals and relevant project documentation is provided to the Client groups and integrate with the ongoing facilities management services.
- Monitor all costs in line with budget forecasts and ensure appropriate action is taken to advise clients early of cost impacts.
Ventia is responsible for the management and delivery of all hard and soft facilities management services, including maintenance and cleaning, for the City of Sydney's portfolio of 251 facilities.
