The Role:
As a Project Assistant within our Program Management Office (PMO) for Priority Projects, you will be a crucial part of our multi-disciplinary team. Your role will involve supporting project administration, coordinating meetings, maintaining effective communication channels, and assisting with project documentation and reporting.
Key Responsibilities:
- Project Administration:
- Provide support to multiple projects and program teams regarding standards, processes, and tools.
- Develop documentation, tools, and templates for use by project stakeholders.
- Coordinate internal and external meetings, including preparing agendas, taking minutes, and distributing documents.
- Maintain effective communication channels with project teams, clients, stakeholders, and customers.
- Project Coordination:
- Track project critical paths, flagging and escalating key risks, issues, and interdependencies.
- Monitor and consolidate project deliverables, schedules, resources, and benefits.
- Maintain key project documentation and manage document and version control.
- Provide basic analysis on program data and consolidate information for reports on project delivery.
- Continuous Improvement:
- Contribute to the development and continuous improvement of project management policies, procedures, templates, and tools.
- Ensure adherence to project governance methodology, frameworks, and standards.
- Provide support in responding to project inquiries and assist in schedule and activity management.
- Other Duties:
- Support the establishment and maintenance of relevant SharePoint sites.
- Assist in the administration of project management systems.
- Participate in emergency or critical event response management duties as required.
- Undertake other duties as needed.
Essential Requirements:
- Knowledge of project management principles and the ability to deliver outcomes within specified timeframes.
- Strong organizational, research, analytical, and problem-solving skills.
- Experience in contributing to policy development.
- Well-developed communication, negotiation, and interpersonal skills.
- Experience in achieving project team outcomes.
