Job description
A Project Support Officer is required to provide administrative support for a range of technically orientated programs and diverse stakeholders.
Working within a portfolio framework, the Project Support Officer will be responsible for maintaining Program Management and reporting artefacts, establishing and maintaining SharePoint sites, program reporting tools and workflows, dashboards and for providing process and reporting advice to project managers.
The Project Support Officer will also be responsible for configuration management of project artefacts and for writing and staffing complex documentation for Senior Executive Service officers.
The candidate will have excellent verbal and written communications skills with a proven history of working in complex Defence or Government programs or projects contributing to organisational capability.
Major Responsibilities:
Facilitate and lead business engagement for large and complex capability development, including identifying and engaging with senior stakeholders.
Develop and maintain program management dashboards, reporting processes and artefacts.
Manage Program reporting requirements; provide advice and direction to Program staff on the use of program reporting tools; define, establish and maintain access controls and quality processes.
Maintain program and project Risk Register(s), including scheduling regular reviews and updates; and facilitating risk workshops.
Provide advice to program and project procurement teams to assist with management of Commonwealth complex procurement activities, including financial advice.
Maintain configuration control of all program artefacts entered into the clients' Electronic Document and Records Management System
Investigate issues of medium complexity and produce related briefs for SES officer consideration.
Other Skills and Knowledge:
Demonstrated administration and organisational skills within Desktop Environments.
Knowledge of program and project Management methodologies, including PRINCE2/Agile and MSP.
Experience in the use of reporting or data visualization tools such as Power BI, Tableau or similar would be an advantage.
Experience in the use of a project scheduling tool highly desirable.
Advanced skills in Microsoft Office suite of tools.
Location: This role is required to be performed in Canberra, ACT.
Contract terms: Contract term of 12 months starting 2 May 2024 will be considered.
SFIA security level required: The Specified Person will be expected to demonstrate attributes at a SFIA Level of Responsibility 4
Security Requirements: Current Top-Secret Positive Vetting (TSPV) security clearance is strongly preferred, however candidates who have held a TSPV in the previous 12-month period (which has since been downgraded) may be considered. Candidates will need to be willing to undergo pre-employment checks which may include, ID and work rights, security clearance verification and any other client requested checks.
