Q1 Resort & Spa is seeking a Level 4 Clerical Grade 3 Property Administrator/Customer Service Superstar, to join its Owner Services team.
The department's key responsibility is to provide exceptional customer support to owners who have contracted their units to the Q1 Management holiday letting pool. The department ensures a high quality of presentation of the owner’s units for our holiday customers and with this continued high quality, ensure future growth of the letting pool.
About the role
The main area of responsibility for the Owner Services Officer - Letting is to provide a supporting administrative role to the Owner Services Manager. Working closely between our apartment owners, maintenance, housekeeping & accounts departments our new OSD team member will support the Owner Services Manager in all aspects of daily operations.
To support the department’s needs, the role of the Owner Services Officer - Letting demonstrates a high level of team work and communication in providing excellent phone, computer (including Emails, Excel/Word, Google applications) and strata property skills. The hours of work are office hours Monday to Friday (part time may be available for the right applicant) however may vary dependant on business demands and work load.
Position Description
- Build a strong relationship with apartment owners through open and transparent communication
- Manage the process of new units joining the letting pool liaising with all departments/areas
- Execute Form 6 contracts and management agreements
- Support the Owner Services Manager with all new letting pool agreement paperwork & ensuring that accurate records are maintained
- Support the Owner Services Manager in all current and new initiatives
- Liaise with key departments and unit owners where works are required i.e. Maintenance Co-ordinator/Supervisor in regards to maintenance requests, Housekeeping for bed upgrades
- Contact the Owner when necessary for work approvals
- Liaise with external contractors for quotes/approvals
- Responsible for processing weekly external contractor’s invoice/reconciliation/record keeping
- Maintain the Owner Services “ticketing” system to reflect all current works in progress & close jobs on completion either internally or when contractors invoices are received
- Manage the process of apartments leaving the letting pool. Lock changes/exit photo’s & preparation of keys for handover
- Process end of month Maintenance & Housekeeping charges
- Answering owner emails
- Responsible for processing owner bookings
- Co-ordinate and oversee the progress of project works in relation to access and completion of the letting pool units i.e. carpet & upholstery cleaning
- Assist with owner services - caretaking, as required

Skills and experience
- Previous experience & knowledge of strata titled property operations
- Apartment resort operations as well as
- Excellent computer skills is a must
- Great personal presentation, be professional and enthusiastic with excellent communication skills
- Previous owner services, strata titled property operations or a real estate agency experience
