About the Role
WHA are seeking a talented and results driven part-time (3 days per week)Quality and Compliance Officer who will be responsible for overseeing all aspects of quality control, regulatory compliance, and adherence to industry standards within WHA’s operations. The role involves designing and implementing quality management systems, conducting audits and collaborating with various teams to uphold Quality and Compliance standards. The objectives include maintaining high standards of pre-employment medical assessments and related services and building a culture of Quality and continuous improvement within the organisation. The Quality and Compliance Officer requires a high level of competency in project management to simultaneously manage a number of Quality and Compliance projects related to WHA Group products and services.
The role takes direction from and reports to the Chief Operations Officer.
Key Responsibilities Include:
- Develop, implement and maintain a robust Quality Management System that aligns with industry best practices.
- Develop, implement and oversee quality assurance processes and procedures to ensure consistent product and service quality.
- Ensure that all processes, procedures and documentation comply with quality standards and regulatory requirements.
- Maintain awareness of relevant industry regulations, standards and certifications by interacting with regulatory bodies to ensure all medical assessments and related processes comply with relevant regulations.
- Interpret and communicate government and industry policies, priorities and strategic directions relevant to WHA Group products and services.
- Support the consistent review of health related data integrity and privacy legislation relating to the collection and storage of personal health and medical related information to ensure related policies, procedures and client communication is compliant.
- Plan, conduct and oversee internal and external audits to assess compliance and identify risks/areas for improvement.
- Prepare for and manage applicable regulatory/certification inspections, addressing any findings promptly.
- Maintain accurate and up-to-date records of quality control activities, audits, and Compliance efforts.
- Generate reports and summaries for WHA Executive and regulatory authorities as required.
- Define and track quality metrics and key performance indicators to measure the effectiveness of the company’s quality management system.
- Use data-driven insights to make informed decisions to drive improvements.
- Collaborate with cross-functional teams to identify process inefficiencies and develop strategies for continuous improvement.
- Implement corrective and preventative actions to address quality issues.
- Evaluate and monitor the quality performance of suppliers, ensuring they meet WHA standards and requirements.
- Manage supplier audits and establish quality service agreements.
- Identify potential risks related to Quality and Compliance and develop mitigation plans.
- Monitor risk factors and update risk assessments as necessary.
- Support the Assessor Team to design, develop, implement and review the WHA Assessor Training Program and translate it into a quality online program that meets regulatory and company standards.
- Design and monitor control systems to evaluate consistency of delivery and violations of policies, procedures and/or regulations in relation to WHA Group core products/services, related training programs and legislative based medical assessments.
- Regularly assess the efficiency of control systems and recommend effective improvements to minimise risk.
- Coordinate and deliver staff training sessions on Quality and Compliance topics as required.
- Develop, scope, facilitate, manage and implement projects that contribute to quality management.
- Coordinate and deliver projects on time and within budget in accordance with WHA’s policies, guidelines, standards and legal requirements.
- Convene and facilitate stakeholder meetings to achieve project objectives and implement project outcomes.
- Build collaborative relationships within internal, external stakeholders and partner networks to develop best practice and share expertise.
- Develop and implement Quality and Compliance operational plans that align to WHA’s Business Plan and Strategic Plans.
- Foster a culture of Quality and continuous improvement within the organisation.
- Inter and intra-state travel and other duties as required.
About You!
- A minimum of 3 years’ experience in quality management and/or compliance-based role.
- Demonstrated knowledge of Quality and Compliance processes
- Demonstrated effective leadership skills, including the ability to lead change and achieve business outcomes.
- Strong analytical, problem-solving and decision-making skills
- A high level of communication, interpersonal and negotiation skills to build relationships and influence others effectively.
