About the roles

We are looking to hire two administrative positions within the business. Each role will have a specific focus but will have overlapping elements due to the nature of our work requirements.  This fast-paced work environment offers a varied workload, and you will be working closely with multiple departments within the business. You will quickly become a vital part of the Biemond team.

Typical Responsibilities

  • Answering the phone in a friendly and professional manner
  • Managing a busy email inbox and responding accordingly
  • Accurate order entry
  • Booking freight
  • Printing orders for daily dispatch as per schedule
  • Accurate invoicing
  • Preparation of freight manifests
  • Preparation of biosecurity documents
  • Printing of barcodes and tray labels
  • Updating customer information and delivery schedules including contacting customers via phone.
  • Stock enquiries
  • Timely communication with other departments/teams (allocation team, sales team, dispatch)
  • High-level administration support to key account manager (submitting allocation submissions to national buyers, uploading new products to client’s website, new product item upload)
  • Uploading and updating stock availability to clients’ App
  • Maintaining office supplies and managing staff uniforms
  • Recording daily EFT deposits
  • Preparation of banking
  • Processing customer's credit card payments (Weekly and Monthly)
  • Assisting the accounts department with statements and overdue notices
  • Keeping internal documentation up to date
  • Maintaining cleanliness of the office
  • Other ad-hoc admin duties as requested

Skills and Experience

  • Excellent written communication and oral articulation skills
  • Very high levels of attention to detail
  • Min 5 years experience working in administration
  • Technology skills: touch typing, advanced levels of Word, and Excel
  • Ability to prioritize workload
  • Ability to accurately process high volumes of paperwork
  • Comfortable communicating with all levels of personnel (internal and external)
