About the Role:
As the first point of contact for visitors and callers to the private group of companies, this role is essential in representing the group's values and giving a lasting impression of engaging warmth, professionalism and efficiency, in both person and by voice.
- Greeting clients - ensuring all visitors are dealt with in a friendly and professional manner
- Answering telephone calls, relaying accurate and correct message to staff and clients, diverting calls, management of various types of calls from high profile clients to cold callers.
- Promptly answering Executive's telephone when needed
- Maintain presentation of the reception area to a high standard
- Provide refreshments for guests when required
- Working cooperatively with the Concierge to ensure all lobby duties are carried out efficiently
- Dealing with incoming and outgoing mail and the administration associated with this task
- Receiving courier deliveries
- Organisation of freight and couriers, locally, interstate and overseas and tracking to confirm delivery
- Arrangement of catering requirements in accordance with instructions, and other assistance for functions when required
- Assisting other Support Team members where required
- Filing and archiving when required
- Ordering of stationery, general food and beverage, cleaning supplies, newspapers, and all other office supplies in conjunction with the Junior Secretary to ensure office supplies are sufficiently stocked
- Proficient skills in Microsoft Office - Excel, Word, and PowerPoint
- Strong customer service background with a proven record in reception duties. Experience in hospitality with hotel reception or similar guest service roles, will be favourable
- General administrative duties
The Ideal Candidate:
You will need to be a person who is an experienced receptionist who enjoys being the face of the organisation and always answers the telephone with a smile in your voice. You will need to be well presented and an outstanding communicator with respect for professional and corporate protocol.
Applicants must be able to work under pressure in a busy environment and show a high level of attention to detail. The successful applicant will need to demonstrate an ability to use their initiative and resourcefulness.
