Receptionist & Client Experience Guru

en light n. by dr sarah jane chiro and Spinal Energetics (check out our socials here…..@drsarahjanechiro @en.light.n @spinalenergetics) is on the hunt for an enthusiastic and organised Reception / Client Experience Guru to join our two beautiful healing practices. 5-15 hours per week with the option to increase down the track. 

We have a huge focus on doing things differently, and creating an environment for our clients to become part of our community as soon as they make an appointment with us. The right candidate will treat both practices as their own, take pride in their work, and maintain a high level of detail and efficiency in the tasks they carry out.

Key responsibilities include, but are not limited to:

• Keeping on top of the functionality in our 2 clinic locations - Armadale and Richmond. 
• Meeting and greeting clients, making them feel welcome and comfortable in our practices. This includes holding space for clients who need additional support by sitting and chatting with them before and/or after their session. 
• Operating Cliniko practitioner management software - experience with Cliniko is highly regarded. 
• Taking payments, using HICAPS and processing Medicare claims.
• Taking client bookings and managing enquiries in person, via email and over the phone, as well as efficiently managing wait lists and cancellation processes.
• Adhering to opening and closing routines, which includes making teas for the waiting area, vacuuming, lighting incense, etc. 
• Caring for our busy practitioners - making their day easier and helping with tasks that may arise.
• Maintaining cleanliness in our practices, general tidying and liaising with our cleaner if required. 
• Retail stocktake and maintain accurate stock levels in our system.
• Assisting with the implementation of new processes to ensure our clients are receiving the highest level of care possible, including welcome packs, follow up processes and client recalls.
• Occasional assistance with event set up may be required on and off-site, including supporting Dr Sarah Jane with her media appearances/ sessions.
