An exciting opportunity exists to join one of the region’s leading Financial Advice firms, Coastline Advice. The award-winning business with offices in Torquay, Anglesea, Barwon Heads and Wonthaggi are looking for a well presented professional who is energetic, and self-motivated Receptionist/Admin member to join the team. Full time or Part time available for the right candidate and location will predominately be in our Head Office in Torquay but from time to time also in the Barwon Heads office.
General Administration / Reception Tasks:
- Arrange and manage all client appointments and adviser diaries.
- Any general office or administration duties.
- Ensure reception desk is in attendance from 9am to 5:30pm.
- Meet and greet all visitors and clients. Making them feel welcome by engaging with them and addressing them by name.
- Answer and screen calls, respond to enquiries, or transfer calls to appropriate staff member.
- Record detailed messages and pass onto recipients promptly.
- Updating of client data across all databases.
- Weekly monitoring and ordering of all stationery and supplies.
- Responsible for general office maintenance activities, including the kitchenette, Meeting Rooms, general cleanliness of office.
- Organize tea/coffee and refreshments as required, this may also include organizing lunch for other staff members during busy periods.
- Uploading invoices to zero and managing petty cash.
- Collect, sort and distribute mail, parcels, both internally and externally.
- Collate and prepare welcome kits, review packs.
- Record all outgoing mail and complete cover letters.
- Assist with any overflow administration as directed by Client Services.
Key Requirements:
- At least 1-2 years' experience in a similar role.
- Excellent communication skills and phone manner.
- Proficient Microsoft Office skills (Excel/Word/Outlook).

- Have excellent organisational skills and be able to manage their time effectively.
- Possess a high level of attention to detail and problem-solving skills.
- Enjoy liaising with clients, whilst exercising discretion and confidentiality.
