An opportunity is available to join our growing team.

As a Reservations and Operations co-ordinator with Hidden Secrets Tours you will liaise with clients and suppliers and provide administration and Operations support for our team.

Established in 2004 – we are the original laneway tour of Melbourne and we are celebrating our 20th birthday this year. 

• A walking tour with Hidden Secrets is an alternative tour to the typical tourist experience and our team members are integral to creating that experience.

This is a Permanent Part time position of 20 hours per week.

Hours of work are Mon-Fri 9.30-2.30pm with one Saturday shift per month.

Our clients are mainly international visitors who visit Melbourne, as well as local tourists and corporate groups. Our walking tours have something to offer all - city, art, nature, architecture, café, food and wine enthusiasts. We specialise in what makes Melbourne tick. We have created a collection of city walks that are great insights into the history, design, modern and historic architecture, nature, art, artisans and the food culture of Melbourne City, its laneways, people, and local small business. We ask our guests to join us on a stroll in the city we love to call home! Hidden Secrets has built a strong reputation as a ‘must see’ in Melbourne over the past 20 years, and is featured in itineraries of many international travel agents.

Core accountabilities:

  • Assisting/liaising with guides and agents/customers as required to ensure smooth tour departure. 
  • Ensuring guides have all they need for an efficient tour departure
  • Daily email inbox management
  • Respond to travel agent enquiries and confirm all bookings in a timely manner.
  • Manage and confirm bookings in the Rezdy booking system as well as the business Google calendar. 
  • Use Google calendar to record bookings, check tour schedules and manage departures  
  • Scan and file tour receipts and invoices
  • Send daily manifests to guides as necessary
  • Assist office/operations manager with guide rostering as necessary to ensure there are no gaps and all tours are staffed
  • Assist with the booking and reconfirming of venues for tours as required
  • Ability to think on your feet and attend to last minute tasks as they arise
  • Ability to work autonomously as well as part of a small team

Preferred proficiencies:

Excellent verbal and written communication skills and phone manner

Microsoft Office (EXCEL, Word) Gmail, Google Calendar, Dropbox, Rezdy, When I Work App for rostering/scheduling.

Minimum 12 months experience in a similar role.
