What this opportunity involves:

We are seeking a full-time Paralegal to join our team with a focus on Retail Leasing. You will be part of a fantastic team, based in Melbourne CBD with both trams and train accessibility.

This is a great opportunity for if you are in Lease Admin seeking your next step up in your career.

Your key focus is to support the timely turnaround of lease documentation to reduce the client's risk. Identification, monitoring and escalation of risks along with recommendations to mitigate them is also critical.

Whilst this is a hybrid / flexible role, you are required to be based in Melbourne with ability to attend the office at least 3 days a week.

What this role involves:

  • Responsibilities in completing legal documentation (instructing, negotiating, certifying, and executing documents for leasing transactions);
  • Complying with processes and policies in relation to negotiations, documents and critical client requirements;
  • Adhering to expected timeframes and required deadlines, and managing, escalating and mitigating risks that may arise;
  • Maintaining an awareness of external solicitor fixed fee scope and managing the cost of legal negotiations in line with that fixed fee scope;
  • Generating and reconciling purchase orders and coordinating payment of legal invoices;
  • Handling other general ad hoc matters delegated such as lease interpretations and disputes;
  • Certifying documents to endorse them for client execution, confirming that they are accurate, comply with instructions provided, and are in line with client policies and standard positions;
  • Assisting with reporting and analysis and attending meetings as required;
  • Building relationships with major landlord contacts and facilitating the negotiation of national landlord/Client's precedent Lease documents;

  • Holds either Legal or Property qualifications and/or has relevant experience in the Real Estate industry
  • Leasing administration experience are highly regarded
  • Demonstrated understanding of leases or contracts, ideally gained in either the Property or Legal industry
  • Sound written and oral communication skills with good listening, presentation and negotiation skills
  • Superior attention to detail and high regard for quality standards
  • Ability to operate efficiently under pressure and prioritise work with tight timelines
  • Strong organizational skills with a positive approach to meeting internal and client stakeholder needs
  • Sound proficiency with Microsoft suite
