About the School of Chemistry
The School of Chemistry at The University of Melbourne is one of the largest and oldest in Australia with a distinguished history in teaching and research. The first lectures in chemistry in The University of Melbourne were given in 1856, only three years after the University was founded. Since then, the School has grown and developed and there are presently over 2500 undergraduates enrolled in Chemistry subjects, with more than 150 BSc (Hons), PhD and MSc research students.

Teaching and undertaking research in the School are 25 continuing research and teaching staff, and over 35 research only staff, supported by a team of technical and administrative personnel.


About the Role
The School Operations Officer will provide a broad range of high quality administrative and operational support to the School, as well as executive support services to the Head of School, ensuring the smooth workflow of the office and School more broadly. The School Operations Officer will play a key role in identifying, implementing and monitoring specific process improvement projects to support the streamlining of processes for the School.

The School Operations Officer is the primary contact within the School for processing of staff recruitment and visitor appointments. The incumbent will be responsible for the coordination of the School’s events and will work as part of the professional services team that also provides high quality administrative services to the academics within the School.

Reporting to the School Operations Manager, the School Operations Officer will work collaboratively with stakeholders across the School of Chemistry, the Faculty and University Services and support the effective delivery of strategy and operations.

Responsibilities include:

  • Ensuring efficient running of the day-to-day activities for the Head of School including, but not limited to, arranging travel and conference coordination, diary and appointment management, car booking, credit card coding and reconciliation in line with University policies and procedures
  • Building and maintaining strong and effective relationships with internal and external staff and visitors to ensure the efficient delivery of administrative services in a diplomatic manner
  • Playing a key role in identifying process improvement opportunities to support the streamlining of administrative processes for the School, including procedures that have budgetary implications
  • Ensuring a wide range of administrative services are efficiently and effectively provided to staff, students and visitors


About You
You will have excellent interpersonal and communication skills in order to provide accurate and informed advice in a sensitive manner and ability to deal with a range of people internal and external to the University, and the ability to work with people from diverse cultural backgrounds. You will possess financial and/or accountancy skills and experience including the ability to prepare financial summaries and project/resource budgets. You will be self-motivated and flexible in responding to changing work priorities, with the capacity to work independently and as a member of a team. The ability to analyse, plan, and review workflows and processes to ensure efficient service delivery e.g. business process management and re-engineering is desirable but not essential.

You will also have:

  • A degree with subsequent relevant experience in operations, expertise in administrative fields or an equivalent combination of relevant experience and/or education/training
  • Proven ability to provide high-level advice to stakeholders
  • Excellent organisational and planning skills demonstrated through the ability to manage competing priorities with a high level of accuracy and attention to detail in a fast-paced environment
  • Extensive experience in providing administrative and secretarial support
