The Role:
This is an exciting opportunity to work in a dynamic and supported environment in the Office of the Executive Director, Enterprise Technology Services Branch.
This role is responsible for providing comprehensive administrative, correspondence, clerical, and business support to the Executive Director as well as positively contribute to the already existing great team culture and environment.
Duties will include, proactively organising and assisting in:
- Preparation and progression of written and electronic information, letters, briefs and correspondence
- Accurate, up to date diary management (ensuring forward planning of regular meetings, accuracy of itineraries and provision of supporting documents for meetings)Management of branch correspondence inbox
- Arrangement of travel
- Establishment and maintenance of contact lists and bring up systems.
To be considered for this role, you will demonstrate your experience providing high level administrative and secretarial support to senior / executive level staff within a high-pressured environment.
Your high level written communication skills and interpersonal skills will allow you to effectively liaise with a wide variety of stakeholders including senior executive, managers and external stakeholders.
You will demonstrate skills to deal effectively with sensitive issues, high level analytical skills with the ability to work autonomously, utilise discretion and initiative in the absence of decision makers, and effectively track and meet tight deadlines.
Additionally, you will have advanced skills using the Microsoft Office Suite including experience in email and diary management and demonstrate the ability to build and maintain strong working relationships with stakeholders from all levels of an organisation.
Experience using Records Manager (eDRMS) will be highly regarded.
