The Opportunity The Specialist Executive Support Officer liaises with Service Group and other senior department staff to achieve an effective and efficient support service to the surgical units.
Employment Term
Fixed Term Temporary full-time, up to 07/05/2024(with a possibility of an extension - not exceeding 12 months)
Role responsibilities
Manage and organise relevant aspects of the nominated surgical units including administrative and communication systems, diary appointments, HR processes and staff travel/accommodation.
Provide direct support to the Clinical Director of surgical units for the management of staff and rosters, including on-call rosters.erform confidential secretarial and other administrative duties as required by the Clinical Director of surgical units. Eg. Payroll and HR support and recruitment
Ensure the efficient running of the office in the absence of senior staff. Participate in appropriate quality activities and plans. Exercise judgement to manage immediate problems in situations where precedents have not been set and procedures not defined.
Screen (if required) members of the surgical units from distractions caused by unnecessary interruptions and telephone calls with redirection to appropriate areas as necessary.
Ensure documentation for filing is appropriately maintained in a filing system and appropriate records maintained of document movement, as required.
Support other members of the surgical units and service group as required, demonstrating the appropriate liaison and communication required for the efficient operation of the unit.
Participate in the development, implementation, review and maintenance of internal systems, processes and work practices. Identify areas for improvement and recommend/implement enhancements to existing practices.
Prepare and distribute agendas for meetings, recording of accurate minutes and identify and monitor actions from meetings.

Salary rates between $2864.10 - $3185.10 p.f. (AO3)
