We are seeking a highly motivated and passionate individual to join our Competitions team as a Volunteer Program Coordinator.
The Volunteer Program Coordinator will be responsible for the Ekka 2024 Volunteer Program, ensuring the successful on-boarding, training, and coordination of the volunteer workforce. You will be working closely with our Competition & Event Planners to ensure that our volunteers are effectively utilized and that their efforts are making a significant impact during show.
About Us:
The Royal National Agricultural and Industrial Association of Queensland (RNA) is home to the Royal Queensland Show (Ekka) - Queensland’s largest and most loved annual event, attracting around 400,000 people each year. Over 9 days in August each year, the Ekka is staged at it's original birthplace, the Brisbane Showgrounds and brings the country and city together for a true celebration of Agriculture.
This is a fixed-term contract beginning in early June and finishing in September 2024
Responsibilities:
- Develop and implement a comprehensive Volunteer Program plan for Ekka.
- Work with volunteer providers/QLD community to select volunteers for Ekka.
- Develop, maintain, and enforce volunteer policies, procedures, and standards. Including ensure all volunteers have completed RNA induction.
- Develop and conduct volunteer training sessions prior to the event.
- Curate Ekka volunteer position job descriptions and duties
- Facilitate volunteer scheduling and shift assignment.
- Assign volunteers to various areas of Ekka as per operational demand.
- Develop and maintain positive relationships with volunteers, ensuring their needs are met and their well-being managed.
- Provide ongoing support and guidance to volunteers throughout the event.
- Ensure that volunteers adhere to RNA/volunteer policies and procedures, including safety protocols.
- Collaborate and liaise with Ekka staff / exhibitors to ensure that volunteers are effectively integrated into event operations.
- Collect and analyse data on volunteer performance, providing reporting.
- Develop and implement strategies for volunteer retention.
- Ensure all volunteers have completed required checks and hold any relevant certifications for roles and activities.
- Prepare and deliver report for RNA on the effectiveness and success on the Volunteer Program.
Desirable/Advantageous Skills:
- Demonstrated experience in people management.
- Experience in planning and coordinating events, people, programs or similar.
- Excellent written and verbal communication.
- Robust interpersonal and organisational skills.
- Professional appearance and manner.
- Ability to work autonomously and dynamic problem-solving and decision-making skills.
- Knowledge of WHS regulations, volunteer governance and management.
- Willingness to learn and adapt.
