Location:
Melbourne, Cremorne. 

Reporting to:

General Manager, People.

The role:

As the Akaysha team grows, so too do our offices spaces and our Workplace Experience function. This position will be responsible for all offices, team events, and our social calendar globally. In addition the role will support our GM, People with reporting and administration across the employee lifecycle. 

With a brand new bespoke office in Melbourne, an upcoming Sydney office move and further office spaces in Portland US, Japan and Singapore we're looking for someone with an enablement focused mindset who will create a positive and engaging workplace for all our Akaysha employees.

Key responsibilities will include:

  • Design office experiences to create a welcoming and engaging space for employees
  • Manage lease renewals & insurances
  • Liaise with building management
  • Manage office spend to budget
  • Procure & manage office services, suppliers, equipment and inventory
  • Support GM, HSE with office WH&S administration & initiatives
  • Lead acquisition, fit out and office moves when required
  • Manage occupancy and team calendars
  • Work with corporate IT Manager on office AV / IT
  • Produce and maintain policy, process & systems to support the smooth operation of all offices
  • Manage the sending / receiving of parcels, mail & deliveries
  • Create and manage disaster recovery plans in collaboration with IT
  • Manage ‘reception’ – welcoming & seating visitors as required
  • Ensure meeting rooms and shared spaces are kept tidy and ready for use
  • Manage travel agent & provide inputs into travel policy
  • Manage design, procurement & distribution of PPE
  • Coordinate & prepare monthly HR reports
  • Support GM, People with admin tasks and projects across the employee lifecycle. 
  • Manage social & events calendar
  • Support employee social clubs
  • Manage Christmas Party & Conference and support EA’s with the planning and coordination of other events

What you'll bring:

  • Highly organized / detail orientated with the ability to juggle multiple small to medium tasks
  • Enablement focused – excited about creating environments that allow people to do their best work
  • Confident using different tools & software packages
  • Proficient with Microsoft suite
  • Experience putting together reports / working with data in excel
  • Collaborative approach to problem solving
  • Experience working in a people & culture team
  • Experience coordinating events / social calendar
