Venues Bookings Officer

Permanent Part Time – 24 hours per week

Band 4 - $69,505.50 - $74,866.87 pro rata per annum + super

An exciting opportunity is available to join the Libraries Arts and Events Branch. We are seeking an enthusiastic team member with exceptional administration and customer service experience to join the Venues Bookings Team.

The Venues and Events Unit is responsible for managing the bookable spaces within the City of Yarra municipality for all internal and external events and meetings. The Unit also facilitates operational event delivery of our town halls and other bookable spaces such as community rooms and library spaces.

As a Venues Booking Officer you will be taking queries, making and managing bookings whilst  providing excellent customer service to both internal and external hirers. You will also be responsible assessing the suitability of events, invoicing, preparing check lists and documentation and ensuring smooth running of all events in our venues.

The position reports to the Venues and Bookings Team Leader and is part of Yarra Council’s Community Strengthening division. To be successful in this role, you will need to have the ability to communicate and work effectively in a team, and have experience or demonstrated capability in the following areas:

  • A commitment to quality customer service and attention to detail
  • Strong administration, reporting and computer skills
  • Efficient and professional response to all customers with the ability to gain co-operation, including ability to deal with difficult customers
  • Multi skilling, teamwork and time management techniques

KEY RESPONSIBILITIES

  • Work in a team that manages all the internal and external aspects of bookable spaces within Yarra
  • Provide high quality customer service and accurate information to potential hirers of facilities.
  • Provide assistance and information to internal and external customers in relation to booking spaces, event preparations and payments.
  • Maintain the booking and event management system, monitor post-event reports and feedback and provide information and data to the venues unit as required.
  • Administration tasks including organisation of functions and events such as physical set up, equipment requirements, bump in/out and event run sheets, receipt of bond payments and process of payments
  • Assist with reporting and projects relating to the management, operation and maintenance of venues and events and other corporate information
