About the role

This administrative role is crucial to the college’s administration, especially around its timetabling, grades and other data management processes, which enhance the students experience. The person in this role will work closely with the Director of Student Success, other team members and stakeholders to accomplish the key responsibilities.

Responsibilities and duties

Grades and Academic Data Management

  • Support Student and Academic Services Coordinator with the end-of-semester grades management process.
  • Receive and prepare all examination papers for all face-to-face examination sessions in consultation with the Student and Academic Services Coordinator.
  • Arrange the setting up of all face-to-face examination sessions for the program in liaison with the Academic Managers and Student and Academic Services Coordinator.

Subject Selection

  • Liaise with Student Success Team when managing module selection process pre and post arrival for both new and continuing students.
  • Assist in the review and updates of module information every semester to ensure accuracy and currency, and update the Learning Management System (LMS) surveys accordingly.
  • Assist with monitoring the completion of module selection process by students and follow up with them directly to ensure timely completion of tasks.

 Timetabling & Scheduling

  • Assist Student Academic Services Coordinator and Academic Managers in the development of timetables
  • Input student and teacher timetables into Student Management System (SMS).
  • Generate and distribute individual student timetables.

 Student Transition

  • Assist Student Success and Engagement Manager with communicating Study and Intervention Plans to students and follow up with students for acceptance/completion.
  • Assist the Student Success and Engagement Manager and Student Success Team in informing students when their academic performance conditions are not being met.
  • Assist in the generation of all student academic reports.

 Academic Administration

  • Assist in monitoring the USPP admin and timetabling email accounts and signpost to relevant staff.
  • Support colleagues in the Student Support and Experience team, assisting others with tasks as required in peak periods (e.g. student registration and induction, examination, beginning and end of semester processes, etc.).
  • Assist with any other reasonable campus duties as required by the Senior Leadership Team.

 Compliance

  • Maintain accurate records, notes and documents for Audits.
  • Keep abreast of regulatory updates for student visa holders.

 Qualifications and Selection Criteria

Essential:

  • Excellent written communication skills, for example when responding to student enquiries, team members and stakeholders
  • Effective interpersonal skills liaising with academic staff, students and peers
  • Advanced computer skills with Microsoft Word and Outlook
  • Intermediate computer skills with Microsoft Excel and Databases
  • Completed or near completed bachelor’s degree or equivalent qualification
  • Experience in the Further Education Sector, and application of its compliance obligations for student grades and academic records
  • Competent in inputting timetabling and scheduling

 Desirable:

  • Experience with Student Management Systems
  • Experience with Learning Management Systems for example Moodle
