POSITION PURPOSE                                                                                                                              

Queensland Ballet Academy’s Receptionist is integral in supporting the Company’s three sites: one vision approach as the front face of the organisation, ensuring the smooth and efficient running of the front desk area which includes the provision of exceptional customer service both in person and over the phone. 

This position is based at the Queensland Ballet Academy in Kelvin Grove, reporting through to the Head of Academy Operations to provide a high-quality customer experience for students, parents, event participants, visitors and staff members.

Thomas Dixon Centre — our headquarters and home to our artists and arts workers. The facilities at Queensland Ballet's home in Thomas Dixon Centre in Brisbane’s West End allow the Company to offer a full range of training and community access programs, including public dance classes.

To be successful in this position we are looking for someone who is solution and, 

REPORTING

Reports to the Head of Academy Operations.

 

Works closely with the Academy Business team, as well as other Queensland Ballet Academy and Company staff.

 

RESPONSIBILITIES 

General

  • Act as the first point of contact for the Academy, providing exceptional customer service.
  • Receive visitors, students and event participants to the building.
  • Ensure visitors are correctly registered, meet the Department of Education’s mandatory child safety training requirements and follow COVID Safe regulations upon entry. 
  • Monitor student arrivals and departures, providing rigorous supervision, overseeing and recording sign in and out processes in consultation with the Admissions and Wellbeing Manager.
  • Manage incoming phone calls appropriately and efficiently.
  • Manage the Academy’s absence and other email inboxes, responding and/or forwarding as appropriate.
  • Coordinate and register all physical mail, couriers, and deliveries (incoming and outgoing).
  • Ensure adequate stationery and consumable stock levels.
  • Manage usage and preparedness of the building’s meeting spaces for meetings, interviews etc.
  • Assist the Academy Business team with general administrative duties as required.
  • General reception area/foyer closing procedures.

Other:

  • Contribute to the maintenance of the QB Academy’s enrolment management system and other data management processes, ensuring validity, privacy and accuracy of data.
  • Undertake assorted general duties associated with programs, productions and events as required.
  • Process EFTPOS payments for various programs, events or merchandise.
  • Provide support to Front of House and Facilities staff.
  • Perform other Front of House, box office or chaperoning duties, on and off site, as required.
  • Assist with communications, planning and management of student excursions and visits by Guest Academy and external scholarship students.
  • Monitor and manage lost property.
  • Manage student lockers.
  • Assist the emergency warden in the event of an emergency (fire, lockdown, security breach, first aid).
  • Conduct self-directed learning to ensure you have comprehensive and current knowledge about all Queensland Ballet Academy programs, events and activities, to accurately answer or direct all enquiries.

KEY CRITERIA

  1. Demonstrated organisational and time management skills, comfortable working with a high degree of responsibility, flexibility, and adaptability in a dynamic, fast-paced, and collaborative environment.
  2. Demonstrated highly developed written and oral skills with excellent attention to detail.
  3. Ability to work effectively as a team member, possessing high level of interpersonal skills and exceptional administration skills to enable ease of negotiation, collaboration and problem solving with a range of internal and external stakeholders.
  4. Solutions focused with a demonstrated ability to remain calm and responsive to perform under pressure to meet deadlines without compromising quality outcomes. 
  5. Demonstrated experience using databases, scheduling programs, rostering, venue management programs and general Microsoft Office packages to enable activities to be planned, prioritised and executed in a manner that ensures accuracy, and efficiency.

DESIRABLE CRITERIA

  1. Previous experience working with children and/or in an educational setting.
  2. Previous experience working within an arts organisation.

GENERAL INFORMATION

Recreation Leave 
20 working days per year (pro rata)

Personal/Carer’s Leave 
Ten working days per year (pro rata)

Probationary Period 
Six months from commencement.

Hours of Work 
Nominally, 38 hours per week Monday to Friday between the hours of 10.30am and 6.30pm.  The appointee may also be required shift their rostered hours to cover some early starts, evening or weekend hours.

Salary 
Salary will be negotiated with preferred candidate. Superannuation is paid into the superannuation fund of your choice, currently at the rate of 10.5%.

Mandatory Requirements

The successful candidate must have, or be able to obtain, a Blue Card and positive Queensland Police Check.
