We are a small Accounting Firm in St Kilda seeking an experienced Office Administrator.
Please don't apply if you haven't worked in the accounting industry. Prior experience in accounting and taxation administration is ESSENTIAL.
You would be in charge of the company’s administration and efficiency of daily office operations. From liaising with the Australian Taxation Office to dealing with ASIC Incorporations, you will be responsible for completing multi-level tasks in a professional and timely manner. You will have a junior receptionist to manage. We seek a bright, cheerful person with diligent attention to detail to join us full-time, starting immediately.

Responsibilities
- Secretarial duties with ATO, ABR, and ASIC e.g. Annual returns, incorporations, and business names.
- Help in managing workflow.
- Managing a junior receptionist.
- Engagement, new client onboarding, and ethical clearance processes.
- Liaison with the Australian Taxation Office, ASIC, and other third parties.
- Writing personalised letters to clients. Packing and sending tax returns for individuals and larger groups.
- Debt collection.
- Responding to client queries.
- Identify operational process inefficiencies, develop & implement policies and procedures.
- Answering and directing voice calls and emails.
- Being the main point of contact of the company.
Skills
- Proficiency in Microsoft Office suite (Outlook, Excel, Word, etc.).
- Experience with XERO, XPM, ASIC, and ATO Tax Agent Portal is Essential.
- Excellent written and verbal communication skills.
- Ability to multi-task, organise, and prioritise work.
- Ability to work under pressure to meet quality and productivity goals.
- High level of integrity and honesty.
- Helpful, self-motivated.
