The School Progress and Performance consists of Ten (10) Senior Leaders who support an assigned cluster of BCE schools across the key areas of the school life: Catholic Identity, educative leadership, professional learning and teaching practice, school management and internal and external compliance and reporting. An opportunity has become available for an Administration Services Officer to provide support to assigned Senior Leaders to meet the operational requirements and day to day function across a range of administrative tasks for Term 1 2023.
Your key responsibilities :
- Provide a point of contact and information on behalf of the designated Senior Leader for their assigned schools, and respond to enquiries, escalate and redirect issues as required, to ensure the provision of accurate information.
- Manage diary appointments, records, emails and correspondence, coordinate travel arrangements, and schedule and support meetings.
- Draft and prepare correspondence, agendas, minutes and power-point presentations for the designated Senior Leader to meet service delivery for BCEO and School requirements
- Assist in recruitment process including compiling documentation, arranging interviews, coordinating panel members, including community representatives, uploading documentation.
- Update and maintain records and databases, complying with administrative systems and processes to ensure accurate information is maintained.
- Extract, collate and compile data and information on performance reports in line with standard BCEO requirements.
- Utilise Dynamics to assist with cost centre processing and reporting activities.
- Undertake event planning and coordination tasks relating to conferences and gatherings of key school leadership role holders during the school calendar year
- Work with BCEO functional areas to undertake administrative processing tasks related to the role
- Formal qualifications in business, business administration or relevant similar experience is preferred
- Experience in executive and administrative support
- Ability to prioritise work and exercise judgement and discretion in a high volume, complex operating environment to support senior management
- Organisational skills with strong attention to detail and ability to take responsibility for completion of workloads
- Excellent Communication (oral and written), interpersonal and liaison skills in dealing with senior management and internal and external stakeholders
- Advanced proficiency with MS Office suite and SharePoint, and ability to operate to BCE records management requirements.
- Capacity to work using initiative and as a team member to produce consistently high-quality work
- Possession of a current/valid Queensland Driver’s Licence
