We are currently looking for an Administration and Enquiry Officer to support the operations of the Professional Standards Scheme on a full time permanent basis.
About the team
Licensing & Registry has overall responsibility for the Administration and operation of the Professional Standards Scheme (the Scheme) in accordance with the Professional Standards Legislation, and also for the Society’s functions of granting and maintaining Australian practising certificates and registration certificates pursuant to the legal profession legislation. Scheme Operations, oversees the operation and administration of the Scheme.
About the role
This is a high caliber customer service facing role answering telephone and email enquiries from internal and external stakeholders and undertaking high level administrative tasks, data entry and record management duties for the Law Society of New South Wales Professional Standards Scheme, the Director, Licensing & Registry and the Manager, Scheme Operations.
What you'll be doing
Supporting the Manager, Scheme Operations, in the day-to-day Administration and customer service outcomes (with more than 14,000 members).
Assisting in generating and processing applications accurately on the Society’s database for renewal of, applications for, and exemption from, Scheme participation.
Answering a high volume of telephone and email enquiries from staff, the profession and the public relating to the Scheme and providing accurate and timely responses.
Liaising with the Finance Department in processing of applications and payment of membership fees.
Accurately maintaining the Scheme’s correspondence and its database and generating reports when required.
Generating and sending out applications for participation, or exemption from the Scheme to new law practices.
Preparing quarterly payments.
Assisting in the preparation and production of annual reports and reporting requirements.
Supporting in the preparation of legal memoranda and annexures for consideration by the Scheme Administration Committee, and general office duties as required.
About you
Previous administration experience, in an office or clerical setting (preferably in a legal environment).
Previous database management experience and management of information records.
Excellent computer skills including working knowledge of Microsoft Office and proficiency with e-mail, internet and database applications.
Exceptional customer service skills and experience in managing telephone enquiries and complaints.
Strong communication skills both written and verbal.
Sound administrative skills including strong organisation, planning, and prioritising skills.
Ability to understand and apply policies and regulations.
Excellent accuracy and attention to detail.
An understanding of the links between Power BI and the data analytics required of the platforms utilised by the Society.
Able to work with discretion dealing with confidential and sensitive material.
Ability to work both as part of a small team and autonomously with minimum supervision.
