Your Role
A fantastic opportunity has become available at Holy Spirit College for a proficient and experienced Administration Assistant to join the team in the Responsible Thinking Classroom. This is a term-time continuing position for 35 hours per week, for an immediate commencement or as negotiated with the successful applicant.
In this role the successful applicant will provide a variety of support services with a depth of knowledge and broad range of skills in order to serve the educational function of the College.
Typical duties include but are not limited to:
- Carry out a wide range of secretarial and clerical duties at an advanced level, including Excel spreadsheet and report data manipulation, word processing, preparation of booklets and maintaining manual and computer records.
- Respond to enquiries from staff and students and address issues in accordance with routines, methods and procedures.
- Within routines, methods and procedures: provide support to RTC Teacher, RTP Director, Year Level Deans and staff in the RTP.
- Assist in preparation of internal and external publication of documentation.
- Use software application packages to create database computer file structures and spreadsheets/work sheets/reports.
- Maintain established central filing/record systems in accordance with routines, methods and procedures. This would include: creating and indexing new files; retrieving records (computerised and hard copy); distributing files within the College as requested, monitoring file locations an identifying and processing inactive and closed files.
- Within routines, methods and procedures liaise between the College, student and the student’s family where some discretion and judgement are involved, e.g. the selection of appropriate letter templates for correspondence.
