The Arts Administration Assistant
Carmichael College is a Prep to Year 11 co-educational, non-denominational Christian College situated in Morayfield. The College was established in 2015 and is enjoying steady growth. By 2025 the school will have students in Prep to Year 12.
The College is seeking a professional, enthusiastic and self-motivated team player who has proven experience in providing excellent customer service and administrative support based in the Arts learning area in support of curriculum and extra-curricular programs.
This is a part-time position (two days per week) – Term Times only and will commence during Term 3 2024.
Overview:
The role involves general administration, event support, communications assistance, and has a student interface. The Arts Administrator assists with key aspects of administration for The Arts Learning Area, as directed by the Head of The Arts, in support of its curriculum and extra-curricular programs, including some administration for peripatetic tutors. Flexibility in work hours is essential to accommodate evening and/ weekend events on occasion.
General responsibilities include:
- Providing administrative support for the administration of the Arts curriculum programs and extra-curricular programs
- Attending to incoming queries, scheduling and calendar tasks and managing sign-ups.
- Assisting Arts staff for rehearsals, performances, productions, concerts, meetings, functions and other events
- Communicating relevant updates and notices to staff
- Liaising with internal and external stakeholders in the administration of Arts programs and events
- Liaising with Finance
- Housekeeping of storerooms, tidying and structuring of these spaces for safe keeping and maintenance of resources across the department in consultation with relevant staff.
Skills and abilities:
- Excellent communication and interpersonal skills
- Demonstrated organisational skills, including the ability to successfully prioritise and manage multiple tasks concurrently
- Ability to work autonomously, as well as in a busy team
- Intermediate proficiency with Apple environment and Microsoft Office, primarily Excel (specifically data handling), Word (including mail merge) and management systems (including calendars) as relevant
- Ability to foster and maintain stakeholder relationships
- Ability to provide excellent customer service to internal and external community members
- Ability to use initiative and problem solve
- Ability to use databases, management and booking systems.
Essential criteria:
- Database (Sentral) experience, or the ability to learn quickly
- Knowledge and experience in the Microsoft Office suite
- First aid qualification is an advantage
- Driver’s license
- Christian and active member in a Christian church.
The Arts Administration Assistant reports to the Head of The Arts.
