Job Summary:

Located in the outer eastern suburbs of Melbourne, PPI is on the lookout for an individual with exemplary ethos to become a part of our proficient, tight-knit administration team as an Administration Officer.

Joining our team as an Administration Officer, you'll be under the direct supervision of our Administration Manager. Your responsibilities will span managing training course enrolments, orchestrating training venues, both local and international travel arrangements, addressing enquiries, and various other business facets. PPI is continually looking for ways to enhance its efficiency across various departments so inputs to make our processes more efficient will be welcome. This position offers a career pathway for the right candidate, laden with learning and advancement prospects.

Your ability to manage time impeccably, coupled with superior organizational skills, communication acumen, and meticulous attention to detail are imperative for this role. Full time is preferred, although part time will be considered. The hours are flexible and open to discussion; however, you must be able to work five days a week. 

Ideal candidates will exude enthusiasm, exhibit a congenial demeanour, and harbor self-driven motivation to amplify the collective team’s objective to make the world a better place through the power of systems engineering. Experience in an administrative capacity is a prerequisite, along with outstanding written and oral communication , savvy with computing, adept time-management, and meticulous attention to detail. Key Responsibilities:

  • Overseeing public and corporate training course registrations, crafting confirmation letters, and invoices
  • Corresponding with clients via email and occasionally by phone
  • Archiving digitally all relevant details concerning public training courses
  • Generating course survey links, compiling reports from survey feedback
  • Preparing Course Briefing Kits for course facilitators
  • Preparing and dispatching certificates of completion to all course participants
  • Coordinating domestic and international travel schedules for presenters and consultants
  • Liaising with venues to arrange logistics for our courses
  • Inputting client data into our database
  • Engaging in general problem-solving activities
  • Learning and performing some administration management tasks during absences on leave of the Administration Manager.

Essential Attributes:

  • Competence in computing, word processing, spreadsheets, and database usage
  • Proficiency in MS Word, MS Excel, Google Suite and a working knowledge of Adobe Illustrator. Training to increase your IT skills will be available.
  • Capability to work harmoniously in a team setting as well as autonomously
  • Resilience under pressure and ability to adhere to stringent deadlines
  • Elevated attention to detail inclusive of impeccable spelling and good grammar
  • Stellar organisational and communication aptitude
  • A friendly, outgoing demeanour
  • High motivation levels, eagerness to learn, and a proactive, can-do attitude
  • Willingness to make suggestions towards continuous improvement in our company.

Desirable Qualifications:

  • Bachelor’s degree in business administration, operations management, or related field. 
  • Minimum 3 years of administrative experience, leadership role preferred.

Job Type: Full-time or Part-time; hours are negotiable, however, availability five days a week is crucial. The team works mainly remotely. Team members meet in-person as needed and as a team each month. You must be available for this monthly gathering in the Ringwood area.
