The Role
This is an exciting opportunity for an experienced and responsible Administrative Team Leader who is ready to take the next step in their career. We are seeking a candidate who is passionate and enjoys the challenges and responsibility of working within a specialised healthcare setting. The successful applicant will play an important role in the patients’ overall experience and smooth functioning of the fertility clinic, ensuring that a high-quality service is provided. The applicant will be responsible for providing leadership, support, direction, orientation, training and mentoring to Administration Team members in all areas relating to the administrative systems and functions, across our Brisbane clinics. This full-time position is located at our largest clinic within the state in Spring Hill, Brisbane.
Role Responsibilities
- Provide exceptional administrative services and support to patients and staff associated with Queensland Fertility Group.
- Lead a large Administration Team across three clinics, creating a positive team culture and leading by example.
- Have a full working knowledge of all activities and tasks performed within the administrative function, such that training or back up support can be provided as required.
- Ensure a high standard of service in all administrative functions is maintained.
- Provide support and feedback, and conduct appraisals of administration staff.
- Provide training and mentoring to Administration Team members.
- Control and manage of office and general supplies within the organisation.
- Provide input of the administration function into ongoing continuous improvement activities and wider projects across the business.
- Maintain strong team working environment where workloads and shift coverage are equitably distributed and all administration staff are encouraged to exercise initiative, support strong functional relationships, and open communication.
Experience
- Minimum 5 years experience within an administrative environment
- Minimum 2 years experience as a Medical Receptionist, within a healthcare setting is essential, including experience with Medicare and Private Health insurance billing and fee estimates
- Proven experience leading an Administration Team
- Experience or knowledge of IVF (desirable but not essential)
Skills
- Proficient working knowledge of database systems / patient management systems
- Excellent communication, and interpersonal skills to enable interaction with all levels of people
- Ability to work both as a team and autonomously
- Office administration and/or accounts receivable
- Ability to teach and support new staff members with proven leadership skills
- Ability to thrive in a fast-paced environment with a high level of attention to detail
- Excellent time management and organisational skills
