We are seeking a part-time admin assistant for our children's speech pathology clinic located in North Melbourne. We need someone who excels in interacting with people, can communicate easily with parents, and presents a welcoming demeanour for children.
Job Offering
2 x days per week (Wednesday and Friday) within business hours.
This job would someone who is looking for part-time work. More days/hours may be added as the business grows.
Qualifications, Experience, & Characteristics
- Ability to work independently and autonomously while managing competing demands
- Friendly with strong interpersonal skills
- Proficient in managing people and handling phone calls
Tasks & Responsibilities
- Schedule and reschedule appointments for the speech pathology team, including managing the waitlist
- Book new clients and create their files
- Ensure client information is accurate, including billing details
- Assist clients in completing necessary forms and documentation, such as intake forms
- Respond to client emails, phone calls, and messages as delegated
- Answer, screen, and forward incoming phone calls
- Provide basic and accurate information about clinic services via phone and email
- Maintain client confidentiality through the proper use of email and practice management software
- Complete payments and invoices for clients
- Make calls to follow up outstanding payments as required
- Attend clinic meetings as required
- Perform clerical tasks such as filing, photocopying, and tidying clinic space
- Assist with arranging group activities involving young children if needed
