The Opportunity
We are seeking an Events Specialist to join our APAC Marketing team. This is a newly created position which reports to our Director of Brand and Communications, APAC.
To support the growth, it is essential to educate our internal staff, professional partners, and patients on the products and services we provide. Working alongside a brilliant team of Marketing professionals, the Events Marketing Specialist is responsible for the management and execution of all event logistics associated with key professional and consumer industry conferences and trade shows as well as some internal meetings.
Activities which may include but not limited to partner with key internal business partners to determine business priorities highlighted at each event, identifying, assembling, and organizing requirements; establish contacts, develop schedules, maintain budgets, and all other logistics that support the success of an event.
Responsibilities include:
Event planning and execution
Manage a cross functional planning team; meeting regularly to align on and identify the key business priorities highlighted at each event, communicating and maintaining all event deadlines and deliverables for the team.
Manage multiple events simultaneously; meeting all deadlines, required tasks, and budgets. To include but not limited to: hotel contracts, accommodations, transportation, meeting specifications (food and beverage, audio visual), registrations, event experience (event app, decor and entertainment), convention trade show management (development of event materials, on-site exhibit set-up/breakdown, support), and internal/external communications.
Maintain budget for all assigned events.
Works in the Event Management software Cvent daily to; receive and process all event requests submitted from internal business partners, create event registration pages, event invitations and all email communications, event evaluations, pre/post event reporting.
Maintain the event management software Cvent; continually evaluate the efficiency of the platform, make updates as needed, and provide training of the platform to new hires as needed.
Maintain strong relationships with key vendors; communicate in a timely and professional manner, stay updated on event/trade show deliverables, invoices, and logistics.
Document all legal report requirements post-event; i.e. Sunshine Reporting.
Provide monthly, quarterly, and annually event reports.
Event Process Management and Continuous Improvement
Manage the annual event calendar, working in collaboration with Marketing, Sales and Clinical functions to ensure it is kept up to date
Coordinate end-to-end event management for major and ad hoc internal events, including but not limited to the APAC meetings and Annual Sales Kick-Off meetings (in-person and/or virtual)
Serve as local contact for major international conferences (e.g. ESPCI, APSCI) to ensure effective communication and consistent alignment
Coordinate attendance for staff at international conferences; consolidate all meeting and conference requests for APAC staff with management approval
Identify and adopt opportunities to improve the quality and professionalism of events
Strive to continually enhance the events experience for all stakeholders involved
Adapt industry trends and best practice within the events space from other industries
Event support for additional events as required
About You. As we grow our operations, we are looking for people who share our passion for delivering quality hearing solutions to our customers. To add value to Cochlear in this role, you'll be able to demonstrate the following skills and experience:
Minimum:
Minimum of 3 years’ event management experience
Demonstrated end to end event management skills
Able to manage multiple events, tasks and processes concurrently in a timely fashion
Understands the unpredictable nature of events and possesses problem-solving ability to adapt and manage changes effectively
Experience with online platforms and event management tools such as CVENT, GoToWebinar and SurveyMonkey
Strong computer skills, including experience with Microsoft Office suite
Highly organised with strong administrative skills
Superior interpersonal skills and strong customer service ethos
Excellent oral and written communication and presentation skills
Ability to travel nationally
Ideal:
Qualification in Event management and/or project management
Experience in the healthcare, medical devices or other regulated industry
