The Repository Operations Team manage DVA’s remaining physical records, spanning from WW1 to today. Digitising files for accessibility, and recommending preservation or disposal based on DVA records authorities, including preparing significant historical records for transfer to the National Archives of Australia (NAA).
As the Assistant Manager you will play a pivotal role in overseeing the day-to-day operations at the Cannon Hill QLD Repository and the Villawood NSW team. Leading both on-site and remote teams, you will coordinate file transfers (to the NAA and to/from third party storage) while ensuring compliance with record handling guidelines, and proactively manage building maintenance and safety concerns.
The successful candidate will need to possess well developed technical skills, a high level of attention to detail, and strong organisational skills. Previous experience in Records Operations, project management, digitisation or sentencing would be advantageous.
Duties
- Manage the daily operations of the repository, including capacity management, identifying and escalating building management and Work Health and Safety issues, and ordering of stationary and archival supplies.
- Staff management. The team is based both onsite, and in NSW. Review workflows/workloads and allocate resources accordingly, ensuring that the team operates at optimum efficiency.
- Monitor work performance and provide feedback including any staff training needs.
- Manage the incoming and outgoing file movements from DVA to third party storage/NAA and vice versa.
- Make decisions within defined parameters relating to the sentencing and physical destruction of files.
- Build and maintain effective, professional relationships with various external stakeholders including the NAA, our third party storage provider, as well as other government agencies and DVA’s internal business areas.
- Liaise with internal clients and external agencies and organisations to ensure access to DVA files that are either in DVA custody, NAA custody or third party storage.
- Maintain statistical data including stocktakes, repository capacity and project/team stats.
- Identify opportunities to improve current practices and procedures.

Where a non-ongoing position is offered, the role will be filled for an initial specified term of up to 12 months.
A merit pool of suitable applicants may be created which may be used to fill future ongoing and non-ongoing vacancies should they become available over the next 18 months.
Successful applicants engaged into the APS will be subject to a probation period.
