  • Multiple APS4/5 Executive Assistant roles – Federal Government Agency
  • Contract Term: 6-12 Months plus possible extension options
  • Deakin Office – Hybrid working option available (Maximum 2 days working from home)

Our federal government client is seeking an APS4 Corporate Operations Officer to join the Procurement and Corporate Services Branch.

About the Role:
The APS5 Executive Assistant (Labour Hire) is accountable under limited supervision to undertake moderately complex to complex work. The position is responsible for providing professional administrative, secretarial and research services to members of the Senior Executive Service (SES).
The position is a team membership position and is accountable for organising their workflow and making independent decisions relating to an area of responsibility. The position is required to provide policy advice within an area of specialisation with advice based on policies and legislation.

The role may evolve to include additional business area specific tasks depending on the direction of the line area over time.

Responsibilities of the role include but are not limited to:

  • Managing emails, appointments and preparing briefing materials.
  • Providing guidance, support and quality assurance to staff at lower classification levels.
  • Assisting with maintaining risk management programs.
  • Maintaining a well-developed understanding of relevant legislation and policy frameworks.
  • Scheduling meetings, preparing reports and documents relating to committees and projects.
  • Organising travel arrangements and supporting official functions on behalf of the Chief Corporate and Commercial Officer, and other agency staff as directed.
  • Identifying and contributing to the resolution of issues and problems as they arise

The APS4 Executive Assistant (Labour Hire) is accountable under general direction to undertake moderately complex activities and tasks within established procedures and guidance. It will have a considerable level of contact with internal and external stakeholders.

It is a team membership position that will work within defined parameters relating to their area of responsibility. It will be required to apply well-established policy, principles, practices and procedures to achieve outcomes that supports and contributes to NDIA’s objectives to ‘build a world-leading National Disability Insurance Scheme’.

Responsibilities of the role include but are not limited to:

  • Completing operational and/or administrative tasks of moderate complexity or difficulty.
  • Diary and email management, responding to changing priorities and timeframes.
  • Preparing replies to correspondence, briefing material and handling confidential papers.
  • Scheduling meetings and preparing documentation for committees and projects.
  • Undertaking research and investigations as requested.
  • Coordinating official meetings, travel arrangements and official functions on behalf of the branch, Branch Manager, and other Agency staff.
  • Providing high level administrative support on personnel and financial matters within the Agency

Skills and Experience
Key skills required for the role:

  • Experience in an EA or similar support role
  • Strong administration / coordination support experience
  • Very strong calendar management and coordination skills
  • Proactive approach to ways of working

Desirable skills to have for the role:

  • Government experience
  • Self-motivated and proactive
