Location Profile

Heatherwood School is a secondary school for students aged between 12-18 years with a mild intellectual disability (full scale IQ between 50 and 70.) The school provides a range of on and off campus programs that allow for the development of students as self motivated individuals with a sense of personal worth, independence and the ability to pursue a socially productive and personally fulfilling life-style.

Selection Criteria

Your application for this position should specifically address each of the selection criteria below.
Short listing and selection will be based upon responses to these selection criteria and key responsibility areas. 

SC1     Demonstrated high level of competency and understanding of DET software systems, including CASES 21 Finance and Administration and associated internal controls, policy, procedures, guidelines and conditions relevant to school-based staff.

SC2     Demonstrated experience and skills in undertaking accounts payable and receivable, sundry debtors and preparation of profit and loss statements, with a capacity to perform duties consistent with established guidelines and frameworks.

SC3     Demonstrated capacity to work collaboratively in an Administration team, including the ability to support others in their role, as well as the ability to work independently.

SC4     Demonstrated high level organisational skills, high level written and verbal communication skills, including the capability to deal with complex issues and the capacity to prioritise work flows, necessary to support a busy multi-campus school setting and its business practices.

SC5     Demonstrated capacity to perform duties that assist with the daily running of the school, including demonstrating high level competency and qualities of initiative, organisation, commitment, punctuality and flexibility.

SC6    Demonstrated experience or willingness to work with students and families in a specialist school.

Role

This role will provide the opportunity to work across a number of areas within the School. The successful applicant will need to be well organised, have the ability to seek and find, and to support the development of best practice by assisting in the areas of finance and administration of a government school. This role involves working closely with the Business Manager. The allocation of specific responsibilities will ultimately be determined by the operational needs of the school and according to the best match of skills and experience to achieve the best outcomes for the wider Community.

In providing general support across a range of functions, the role provides scope for specialisation in the areas of Accounts Receivable and Student Administration, encompassing an extensive knowledge in Finance and Administration tasks in a school environment. The primary role will be to assist the Business Manager in managing and refining operations across the school.

Including knowledge in the areas of Cases 21 Finance and Administration and will require some understanding of OH&S & HR processes.

As well as attending to associated duties assisting with the day-to-day business operations of the school, specific roles will involve:

¿             The ability to manage multiple tasks and be able to work independently and within a team, including working closely with the Business Manager. Personal qualities of objectivity, sensitivity and integrity, along with strong levels of initiative and communication skills, will be required.

¿             Under the direction of the Business Manager, perform duties that will assist in the delivery of improved learning and teaching practices and the efficient functioning of the school.

¿             Have a broad understanding of school operations and the ability to co-ordinate work across a number of areas, including Finance, Student Administration, OH&S and Human Resources.

Hours of work will be 7.6 hours between 8.15am and 4.36pm Monday to Friday (38 hour week).

Responsibilities

Responsibilities

Finance:

¿             In consultation with the Business Manager, have an understanding of how to monitor program revenue and expenditure, and be able to provide support to team leaders and program managers on program/sub program spending.

¿             In consultation with the Business Manager, have a good understanding of financial practices and internal controls across a number of areas including Student Resource Package (SRP), and be able to provide assistance, as required, on day to day operations of the College accounts including ordering, taxation requirements, monthly Business Activity Statements, CASES 21 bank reconciliations, FBT reporting, accounts receivable and accounts payable and sundry debtors by ensuring that any financial functions of the school are effectively accounted for by using Best Practice according to Treasury regulation.

¿             Provide assistance to the Business Manager with end of year financial reporting for CASES21, as required.

General Administration:

¿             Provide assistance to ensure an efficient work flow across the administration office of the school, by having a thorough understanding of CASES 21 student administration, CASES 21 Finance budgetary processes, financial recording and reporting requirements.

¿             Support other Education Support Administration staff, as required.

¿             Ensure the confidentiality of all school records and communication systems.

¿             Ensure the provision of a range of administrative support functions for the Principal and other staff, as required.

¿             Provide administrative support to external service providers, as required.

¿             Assist with the processing of student admissions, registrations, enrolments and transfers, as required.

¿             Provide required level of administrative support for school events, functions and projects.

¿             Demonstrate a high level of competency and understanding of Department of Education software systems including CASES21, EduSafe Plus, eduPay, Recruitment Online, and the associated internal controls, policy, procedures and guidelines.

¿             To participate in Professional Learning activities relevant to position.

Human Resources:

¿             Have a general understanding of Best Practice to ensure proper recruitment practices and internal controls are maintained and ensure all policy and legal requirements are met.

¿             Have a general understanding of industrial relations policy and procedures to ensure the school is compliant with DET policy, legislation and guidelines.

¿             Assist with supply of employment documentation and induction programs for new staff, volunteers and other workers to the school, as required.

Management of School Resources

¿             Assist with the delivery of work practices that ensure appropriate occupational health and safety standards are maintained.

¿             Other duties as directed by the Principal and Business Manager.
