What this job involves
The Assistant Facilities Manager will manage the day to day client activities for the assigned property/facility, and be the on-site key point of contact for key stakeholders and/or client. The role will assume overall responsibility for site budgets, accounting and finance, maintenance and operations, contract services, purchasing of material, equipment & supplies, occupancy services and helpdesk.
Major Responsibilities

  • May require travel to conduct facility inspections at client sites
  • Ability to provide a sensible view of the condition of assets in line with standards and the age of the asset
  • Able to work autonomously and efficiently without supervision
  • Must have current drivers licence
  • Plan and manage all contracts to ensure that they are professionally delivered at the right costs
  • Ensure expiry of contracts are well-monitored and re-procurement is initiated when required
  • Ensure contracts are continually assessed to deliver best value to the client
Facilities Operations
  • Manage & oversee site services as part of the scope delivered.
  • Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)
  • Assist in the procurement of vendors and services as required
  • Conduct regular audits to ensure safety procedures are being complied with
  • Assist in carrying out safety procedures when needed
Human Experience
  • Deliver the account’s Human Experience Roadmap at the site and ensure the delivery of all operational requirements to uplift workplace experience, community engagement and sense of wellness and well-being at the site.
  • Client Engagement
  • Create a fun and impactful client engagement strategy.
  • Engage with all guests, employees, and key stakeholders.
Communication
  • Provide superior customer service to meet on-site client’s expectations
  • Lead the development and implementation of all internal communication strategies in collaboration with client’s leadership with a focus on improving culture and employee engagement.
  • Team player, motivational leader, work across business unit to establish a collaborative environment.
  • Actively work to ensure that the sites financial operations are meeting or exceeding targets and control requirements including JLL Code of Ethics
  • Ensure financial processes are followed at all times
