Located in the picturesque Dandenong Ranges, Puffing Billy Railway, a Victorian State Government entity, is Australia's premier historic steam railway. A major tourist attraction, Puffing Billy Railway continues to be a popular destination for visitors, thanks to the tireless efforts of more than 300 volunteers and a team of dedicated staff. 

About the Opportunity

The position of Board Administrator is to provide administration and general governance services to the Board of Puffing Billy Railway so that the Board and Sub Committee members receive the support necessary for them to discharge their duties accurately and efficiently in accordance with statutory requirements.

Based at Belgrave, this is a part-time position (60hrs per fortnight) with flexibility (including working from home) required.

Duties will include, but not limited to:

  • Lead the preparation of Board and Board Sub committee’s Agenda, Running Sheet, Matters Arising, Board Forward Program and current / future Board /Committee meeting schedules / work plans
  • Coordination of record keeping and ensuring a record of all instruments and decisions made is kept in a Register and reported to the Board as required
  • Liaise with Board and Sub Committee members to answer general process queries, including the development of a policy and legislative compliance framework 
  • In-conjunction with the Group Manager Business Services, executing all statutory filings and manage the maintenance of all statutory registers and records
  • Arrange for the sealing and/or execution of agreements and deeds, recording execution in the Seal Register (if required), and recording and filing executed documents in accordance with standard procedures
  • Provide project management and support for Board special projects as they evolve

About You

This position would suit a person with experience working in a corporate secretariate environment involving meeting documentation administration, formal papers collation and extension liaison with senior executive teams. Knowledge of working with Diligent software will be looked upon favourably.

You will be an effective communicator both verbally and written, with strong Microsoft Office skills and an incredible eye for detail.  You will have excellent time management and planning skills and be able to exercise exceptional emotional intelligence.

Legal qualifications or experience working in a legal environmentor government administrative work highly regarded. Studying towards, or the completion of, the Governance Institutes’ Certificate in Governance Practice, Certificate in Governance and Risk Management or Graduate Diploma in Applied Corporate Governance is viewed favourably.
