Job Title: Board of Directors Minute Taker

Position Overview:
NNTAC is seeking a dedicated and detail-oriented individual to join our team as a Board of Directors Minute Taker. This casual role requires a commitment of 7-21 hours per month to manage pre-meeting preparations, attend board meetings, and accurately transcribe meeting minutes.
Time Requirements:
- Minimum one-year commitment.
- Attendance at monthly board meetings, which may extend to 2-day sessions. Dates are decided a month prior. Meals provided.
- Participation in the Annual General Meeting held between October and November in a regional location. Meal provided.
General Requirements:
- Strong commitment to non-profit organization objectives.
- Understanding of board governance processes preferred.
- Experienced in minute taking.
- Must avoid any conflicts of interest and adhere to a confidentiality agreement.
- Current police reference check required (cost covered by NNTAC).
Required Skills:
- Proficiency in Microsoft Office Suite; comfortable with both Mac and PC.
- Exceptional note-taking and keyboarding skills.
- Ability to transcribe notes into a standard format used by the corporation.
- Excellent listening skills with a capability to take comprehensive minutes.
- Strong attention to detail and organizational skills.
- Self-supervised with the ability to multitask and meet deadlines.
Major Duties:
- Prepare by reviewing documents sent via email before meetings.
- Attend all monthly board meetings and the Annual General Meeting, arriving in advance.
- Record and transcribe notes relevant to the minutes using Microsoft Word.
- Submit first draft of minutes to the Chief Executive Officer within 48 hours for review.
- Incorporate feedback and finalize minutes for CEO and Operations Manager to distribute for board review.
- Maintain electronic copies of all board meeting documents.
- Note: Expenses incurred for attending meetings in regional locations will be covered by the corporation.
