Business Administration
Provide executive level administrative support to the Managing Director and other senior executives, as required.
Responsible for maintaining front-of-house operations and providing a professional first-impression for the business.
Event coordination of the Best of Breed research programs.
Arranging event travel and accommodation.
Coordinating the Best of Breed (BOB) events balancing the needs of both the delegates and fund managers
Sales
BOB Sessions Allocations management: – maintaining the current sales form that allocates the BOB and iBOB sessions and keep sales team advised of session still available for sale.
Looks at geographic allocations for City and locations to ensure best travel times to optimize the program/agenda
Maintain Sales Collateral: ensure all sales collateral used by the technical sales team is current. Liaise with sales team and marketing to ensure it is fit our purpose.
Checked at least quarterly or when personal in the team change.
Sales leads follow up reporting – to ensure that sales leads generated by marketing campaigns and other lead generating activities are being followed up by the sales team.
Marketing
- Checking all marketing collateral each month for edits
- Reviewing collateral for the below products, checking dates, names, etc., plus also looking for what collateral needs to be created.
- Events
- RainmakerLive
- FS Aspire CPD
- Money magazine
- Following up technical sales for all leads that haven’t been marked as “qualified” or “not qualified”. Checking on the status of all pending leads to ensure someone in sales has
followed the person up. Any lead that is not marked as “qualified” needs follow up from the team.

Contacting all FS Aspire CPD and Financial Standard subscribers who are up for renewals in a given month -

Venue booking
Once the event calendar is locked in, we need to book venues for each event. Chief Economists Forum and ABDO Capital Cities are top priorities
Press release statistics reporting
Entering and reporting on Google Alert activity so we know how our competitors are doing in terms of PR. We can also then see which journalists may be interested in our research
Following up media after a press release has been sent
emailing and calling 10-15 journalists to see if they will run our press release
Client Services
- Outstanding invoice assistance
- Assisting in managing current status of outstanding invoices, helping the CS team to follow up with clients for payment.
- Assisting CS with management of Clickup
- Organising input of renewal subscriptions on annual basis to track engagement points throughout the year.
- Organising tracking in Clickup of client and internal feedback collated from CS and Sales team that has been requested of Software development
- RainmakerLive client analysis
- Assisting CS with reviewing usage data of RML clients to highlight where opportunities are for more training, replacing or updating users
- RainmakerLive training videos and guides
- Assisting CS in the coordination of creating training videos, updating training collateral and creating documentation that can be used as a
resource to help clients with knowledge of how to use RainmakerLive.

Media Client Services
- Post-campaign report generation
- Putting together and sending the advertising stat reports to each client post campaign
- Escalating to Michelle to request any stats outside of normal procedure where Software Development is required to provide
- Advertising testing
- Assisting CS with pre-campaign testing of all placements for FS/Money across Web, edm, Print, Solus, custom publishing.
- Daily live testing of all placements to ensure all artwork is appearing as they should.
- Booking form management
- Assisting with filing and reporting of new booking forms once received.
- CS Media collateral
- Putting together CS training collateral to explain to a new recruit how to do the role of media execution, managing AIMS,
coordinating teams and managing process. - Putting together Money Magazine spec kit
- Coordination of custom publishing spec kit
- Putting together CS training collateral to explain to a new recruit how to do the role of media execution, managing AIMS,
- Artwork folder clean-up
Assisting CS with cleaning up the R drive Artwork, stats and booking folders, reorganising and updating. Potentially archiving and organising.
