Job description

The Business Development Coordinator is a key member of the Business Events Adelaide team. The Coordinator is the primary point of contact and undertakes a variety of functions to ensure the smooth operation of its administration, events, membership and communication activities, both within the organisation and externally.

A business event is a conference, meeting, convention, exhibition and corporate incentive.

POSITION OBJECTIVES:

  • Maintain the smooth running of the Business Events Adelaide office and operations to assist in winning business events and maintaining member satisfaction.
  • Co-ordinate logistics to support the successful delivery of tradeshows and member events. 
  • Develop a strong understanding of Business Events Adelaide’s Customer Relationship Management (CRM) system, Simpleview, becoming the ‘super user’ to provide support and advice to the team and ad hoc query management for members.
  • Provide administrative support to team members. 
  • Develop an understanding of the technical skills required to formulate bid documents and other outbound communication. 

SPECIFIC DUTIES & RESPONSIBILITIES:

  • Provide administrative support to the Business Development team and function, including compiling minutes from team meetings, assisting with the organisation of site visits and coordinating letters of support for inclusion in bid proposals. 
  • Be the initial point of contact for Business Events Adelaide enquiries either in person – greeting visitors and managing deliveries – by phone, or by email. 
  • Maintain, utilise and optimise the Simpleview CRM system, with tasks including data management, issue resolution, providing ad hoc reporting, advice to team members and vendor liaison. 
  • Provide administrative and in person support to the Senior Leadership Team where required, for example coordinating Strategic Partner meetings.
  • Oversee administration of bid funded events including support with contract preparation, client liaison and milestone follow up.
  • Assist with the completion of simple graphic design tasks – for example, bid proposal production and the sending of electronic direct marketing.
  • Coordinate invitations, RSVP lists, logistics, signage and other collateral for Business Events Adelaide events.
  • Coordinate the operational aspects of tradeshows, exhibitions, member events, familiarisations and sales calls, both in the lead up and during the events. 
  • General duties, including managing office and stationary supplies, couriers, room bookings and coordination of online meeting platforms. 
  • Undertake other reasonable tasks as directed by Director National Bidding and Events. 
  • Attend Business Events Adelaide functions as required.

SELECTION CRITERIA:

Essential:

  • Promote an environment of continuous improvement for systems and processes within the organisation.
  • Demonstrated ability to exerciseinitiative, work well under pressure, assign priorities and assume responsibility for timely and effective completion of tasks.
  • Display a high degree of efficiency with Microsoft software. 
  • Demonstrated high level administrative support across a range of activities.
  • Goodwritten communication skills,interpersonal and networking skills and the ability to communicate effectively with a wide range of individuals and organisations.
  • Proven ability to work independently and in a team environment.
  • Demonstrated ability to exercisesound judgement, use discretion and maintain confidentiality.

Desirable:

  • Knowledge of InDesign and Canva for basic design work.
