Kennedys is looking for an experienced and enthusiastic administrative professional to join our Australian Business Development (BD) team. This fulltime role (hybrid) is based in Sydney and designed to facilitate the smooth running of BD operations and service delivery across the firm's national office network.
The team administrator reports to the Senior Business Development & Marketing Manager APAC and provides vital support for the national BD team via a variety of operational and general administrative duties including diary/calendar management, the utilisation of key systems, internal reporting, event and BD-related logistics.
The position is part of a global business development function that helps deliver Kennedys' vision and strategy to set the standard for insurance defence and coverage, and for complementary dispute resolution and commercial law services.

Key Responsibilities
BD Operations
Payment/processing of BD invoices and expenses and budget reconciliation
Management of diaries, internal meetings, and national Outlook BD calendar
Arrange and manage corporate photography, including integration into other BD systems
Order and maintain branded merchandise stock for external events and sponsorships
Assist with the production of internal reporting, BD WIP, and other staff communications
Assist with onboarding new starters including setting up and formatting Master CVs
Logging activities and producing BD activity reports from Interaction
Update and maintain BD information on the intranet including news and staff communications
Clients & Markets Assistance
Assist C&M team to maintain the currency of the firm's Master CV workspace in Imanage. Includes transposing speciality bios from tenders, cap stats into CV workspace.
Assisting with the update and maintenance of an expertise register in excel. Includes transposing legal directory and tender work examples into master expertise register and CVs
Simple document production using Word/PPT templates.
Events Assistance
Admin support for hospitality events (mail merge, name tags, room set up, catering etc)
Purchasing tickets for external membership and industry events
Ad hoc support for major events, including on occasion out of hours commitments.
Required experience
Previous experience as a team administrator and/or 5+ years in a corporate environment
Highly organised and able to juggle multiple tasks and deadlines.
Excellent attention to detail
Strong IT skills including MS Excel, Word, PowerPoint, Outlook, Teams, Sharepoint, Interaction
Well-developed written and verbal communication skills.
Flexible approach, can-do attitude, team player.
Calm demeanour - cool under pressure.
Confidence and maturity to liaise with partners and other stakeholders.
