About Your Opportunity
Reporting to our Group Support Officer, you will provide timely and effective administrative and Business Support services to Managers and team members across the Customer, Strategy and Planning Group. You will work with the Group Support Officer and other Business Support Officer/s as part of the Business Support team within the Group. To provide this support you will need to maintain effective communication channels and excellent working relationships both within Seqwater and with external customers and stakeholders.
This role is responsible for:
- Working as part of the Business Support team to provide co-ordinated, professional, engaging and efficient Business Support to Managers within the Customer, Strategy and Planning Group, in an environment where confidentiality, responsiveness and proficiency are essential by ensuring that policies and office procedures are adhered to effectively and efficiently.
- Providing a high standard of business and administrative support for the Customer Strategy and Planning Group by undertaking the following:
- Developing and maintaining networks and effective relationships across Seqwater
- Maintaining effective office and time management practices by prioritising workloads, co-ordinating meetings and diary management for the Managers.
- Liaising with the Group Support Officer and other Business Support Officer/s within the Business Support team to ensure that deadlines for the provision of business papers are met and reports are completed to the required standard.
- In consultation with the Group Support Officer, assist in the reviewing and finalising of draft Board papers, Executive Leadership Team papers, reports and correspondence, including for consistency with corporate standards and clarity of expression.
- Preparing and reviewing draft and final copies of reports, presentations, correspondence, meeting agendas, meeting minutes and other documents.
- Providing financial and procurement administrative support to the Managers including raising of purchase orders, management of invoices, preparation of accruals, reconciliation of Manager's corporate credit cards and the accurate recording and entry of information into relevant spreadsheets/databases ensuring adherence to procurement and financial policies and procedures.
- Reviewing and dissemination of reports to assist Managers in managing budgets, leave balances and training compliance for their teams.
- As part of the Business Support team develop and organise office systems and procedures that foster professionalism and ethical behaviour
- Processing of incoming correspondence and communications (often of a highly confidential nature) and determining appropriate action.
- Organising conferences, workshops and official functions. This includes preparing itineraries, arranging travel, venues and catering and compiling documentation for Workshops.
- Providing general secretarial and support services for the Customer Strategy and Planning Group. This will include:
- As a member of the Business Support team provide effective records management for the Group including managing electronic databases to implement efficient mail and document tracking
About you
To be successful in this role, you will possess:
- Demonstrated experience in providing efficient secretarial and administrative support services.
- Demonstrated experience in establishing high levels of trust, integrity and responsibility in supporting the work of managers.
- Demonstrated experience in minute taking, in particular recording of actions and compilation of written correspondence
- Experience in developing and maintaining effective office systems and procedures.
- Demonstrated experience in providing administrative services associated with financial transaction management using computerised financial systems.
