About the role
The Company Secretary Assistant provides key support to the Company Secretary & General Counsel with impeccable professionalism, excellent attention to detail and organisation skills, and highly effective communication skills. This role has access to confidential information and always requires absolute tact and discretion.
Key responsibilities include but are not limited to:
- Act as the first point of contact for the company secretariat and legal function, including reviewing high-level communications, disseminating correspondence and email correspondence prioritise urgent and often sensitive matters and facilitate the timely and effective resolution of issues, while maintaining confidentiality of information
- Scheduling invitation and meeting requests and travel and accommodation arrangements for the Company Secretary, the directors and other committee members where required
- Provide administrative and secretariat services to support in managing meetings, including meetings of the Board, preparation of agendas, board papers, presentations, minutes, minute taking and ensuring action items are followed up in a timely way
- Develop and administer an appropriate electronic records management and filing system to ensure all company records, registers and legal records are kept and accessed appropriately in accordance with confidentially provisions and delegations
- Arrange events, functions, and board meetings as instructed by the Company Secretary (including regional Board visits), including catering and travel where required, to ensure smooth operations and excellent service to the Board
- Assist in managing the annual budget cycle process for the Board and Committees, and the legal function, and ensure expenditure is in line with budget; assist with processing expense claims and invoices
- Matter management and administrative support with respect to requests for Legal assistance from various business units.
To be successful in this role, you will have the following essential experience and training:
- Minimum of 3 years’ experience working either as a personal or executive assistant to the Company Secretary/General Counsel
- Demonstrated ability to work independently, use initiative and anticipate needs whilst applying exceptional time management and organisation skills, prioritisation capabilities, advanced problem-solving skills, and impeccable multi-tasking abilities
- Prior experience working in a busy and complex environment to provide timely and quality administrative support to a Company Secretary using advanced minute taking skills, and highly developed correspondence, presentation and report writing capabilities, whilst demonstrating meticulous attention to detail
- Highly discrete with an excellent understanding of legal professional privilege and confidentiality
- A demonstrated collaborative, professional and confident style, with the ability to interact with stakeholders professionally and effectively at all levels, including internal staff, Board Directors, the CEO, Executive Management Teams, Industry Members, and Government/other officials
- Advanced Microsoft Office skills including Word, Excel, PowerPoint and Teams with the ability to master the use of SRA specific software such as SAP (Concur) and MS Dynamics
- Certificate IV in business administration or similar and/or commensurate level of work experience at an Executive level.
