About the role
We are currently seeking a Completions Administrator for the to join us on the Morley Ellenbrook Line project based in our Malaga office. This role offers great career prospects with a privately-owned tier 1 constructor and international engineering enterprise.
Key responsibilities
The Completions Administrator is responsible for providing administrative support to the Project Assurance and Handover team.
The scope of duties and responsibilities for this position include, but are not limited to, the following:
Work in accordance with the Completions and Acceptance, Defects Management, Quality Management Plans and Entry into Service Strategy
Respond to enquiries from internal and external stakeholders related to Assurance and Handover process, system applications, handover deliverables, registers, reports and tools
Assit with and perform set up of, structure and/or geometry within the nominated company platform(s)
Develop forms and templates within the nominated company platform(s)
Process data into the relevant Assurance and Handover management system(s) and other company platform(s)
Assit with and perform change management within the nominated company platform(s)
Progressively integrate, compile and prepare handover dossiers for client submission
Conduct regular checks/reviews on handover dossiers and associated deliverables, registers and nominated company database/platform(s)
Assit with and perform continuous improvement initiatives
Coordinate Assurance and Handover data into correspondence, minutes, forms or databases;
Prepare Assurance and Handover data for dissemination to others; organize and store data and respond to requests for currently available data
Obtain and collate data required for the monthly project Assurance and Handover report.
Develop and implement administrative processes to improve efficiency and quality
Assist with scheduling meetings, awareness sessions and training session
About you
Minimum 3 year's experience in completions and/or quality and/or document control or similar administrative roles
Certificate III in Business Administration (preferred but not essential)
Previous experience or knowledge of completions management systems such as WinPCS, Hexagon Smart Completions, Orbit and PIMS desirable
Sound computer skills with the ability to confidently and effectively use O365 and other relevant software
Strong attention to detail
Exceptional interpersonal skills
Be a self-starter / self-leader who thrives on taking responsibility and driving time-focused business outcomes whilst having the ability and confidence to work under minimal supervision
Ability to multi-task, prioritize and respond to positively changing business requirements, with excellent time management skills
A positive, energetic and flexible approach to work
