Bidi Facility Services is a building and facility maintenance company servicing all regions of WA, and we are looking to recruit a Contracts Administrator to join our team in our Head Office Melville.
This role will be working with project managers and supervisors, to undertake quotes, purchase orders, invoices and claims for project works. You will also assist with contract administration duties including creating EOT’s, Variations, RFI’s etc as required or requested by the Operations Manager. You may also be required to assist with ad hoc tasks as directed by the Business Support Manager including admin duties, spreadsheets, tenders and RFQ assistance etc.
The Contracts Administrator role is a full time position (38 hours per week), with an immediate start.
Key Responsibilities for the role include:
- Assist Project Managers and Supervisors in ensuring Bidi FS Project contracts are achieving operational efficiency and meeting KPI’s.
- Develop quotes and issue purchase orders/invoices as required.
- Develop EOTs, NODs, RFI and other contract documents as required.
- Submission and recording of Variations on Bidi FS projects
- Submission of claims for projects works in liaison with Bidi FS Supervisor
- Liaise with consultants, architects and other stakeholders in a professional contractual manner.
- Ability to engage and coordinate subcontractors as required by Project Managers, with focus on value for money, safety and compliance
- Develop SMP, Programme of works and coordinate subcontractor onboarding/compliance for new projects
- Co-ordinating and attending site meeting
- Ensure works are invoiced on time and correctly on completion of jobs.
- Ensure all jobs are accurately entered in Bidi FS’s systems, this includes ensuring jobs are raised, scheduled and up to date in applicable operating systems.
- Compilation of handover documentation at project close out stage (e.g. As Build documentation, Operations Manuals, Test certificates/results, Council permits etc)
Preferred candidates will have the following:
- Minimum - At least 3 years' experience in a similar project or contract role.
- Experience working with online job management systems such as Simpro, Ariba, Procore etc
- Willingness & Ability to learn other management and compliance systems.
- Advanced computer knowledge and management information systems.
- Effective communication skills, particularly when liaising with other departments or external organisations such as clients, suppliers and regulators
- Strong organisational skills
- Ability to work independently and as part of a team
- Understanding of building and maintenance processes.
- High level of accuracy and attention to detail
- Previous experience in government contracts highly regarded.
- Demonstrated time management skills with the ability to achieve strict deadlines.
- Analytical thinker coupled with the ability to think outside the box
- Exposure to reviewing commercial contracts and strong commercial acumen
- Advanced computer knowledge, Microsoft Office suite knowledge; Adobe Acrobat and other information management systems.
