Urban Building Solutions Pty Ltd (UBS) is a growing company within the building insurance industry. Having a large portfolio of national clients within insurance and strata, we are regarded as one of the most prominent insurance building service providers in New South Wales. With a new head office in Summer Hill, UBS operates from Batemans Bay, Goulburn, Sydney Metro through to Newcastle, Coffs Harbour and Byron Bay. UBS is in the process of expanding further into the ACT and SE Queensland in the next 3-6 months.
We are currently seeking a Contracts Administrator / Project Manager with an enthusiastic “can-do” attitude and problem-solving ability to join our Sydney team. In this role you will be reporting to the Construction Manager. Working alongside the site based Project Manager, the focus of the role is to manage both the Sydney and Regional site teams relating to contracts, sub contract procurement, client variations, delays and client updates / progress reports. There is opportunity for an immediate start, however we are prepared to wait for the right person to join us. Full training will be given.
You will need thorough building knowledge to enable you to work on both major and minor loss projects. Previous strata experience is preferred.

Duties & Responsibilities:
- Review of documentation to understand the history of all approved jobs prior to commencement and allocation to relevant supervisors – raise issues to the Administration team and Estimating team if required.
- Create expected budgets for the supervisors and agree on provisional schedule / completion dates.
- Manage provisional sums and client variations with the supervisor.
- Manage client updates and progress reports.
- Manage signed material selection forms from property owners.
- Assist with the negotiation of price/costings with contractors with the supervisors where the budget is exceeded.
- Conduct regular fortnightly WIP meetings with supervisors to identify potential job issues.
- Coordinate with accounts the submission of progress claims and final client invoices.
- Manage completion sign off, completion photos, and trade certifications once work is complete.
- Proactively assess Supervisor KPIs

Selections Criteria:
- Minimum 5 years proven experience within the building industry in a similar role.
- Intermediate knowledge of Microsoft Office and project management programs.
- Positive, problem-solving attitude
- Demonstrate exceptional organisational and administrative skills - attention to detail is a must in this role
- Valid Driver's License
- White card
