About the Role: We're seeking a Customer Service and Administration Coordinator to join our team in a hands-on role. You'll be the backbone of our operations, responsible for Customer Service, supporting logistics, managing accounts receivable, and general office administration. The ideal candidate will showcase strong communication skills, smart decision-making abilities, and a can-do attitude.
Responsibilities Include:
- Front Desk: Handle incoming calls with efficiency and professionalism, welcoming visitors and assisting with onsite invoicing and card payments. Provide essential administrative support to team members, ensuring smooth office operations.
- Logistics Services Coordination: Manage incoming calls, orders, and entries into the ERP system, while overseeing collection appointments. Proactively communicate with customers to notify them of any missed store visits and maintain the accuracy of our database. Assist in capturing weights for exporting agents and categorize receivables for invoicing. Coordinate Just-In-Time (JIT) export container arrangements and track vehicle locations in real-time to ensure seamless logistics operations.
- Accounts Receivable Management: Conduct daily account reconciliations, addressing customer queries promptly and professionally. Process invoices accurately and efficiently, preparing weekly debtor reports and conducting ongoing follow-ups via phone and email for overdue debtors. Generate end-of-month customer statements and provide comprehensive reporting on accounts receivable activities.
