Healthy Living NT seeks the services of Customer Service Officer to work in our Alice Springs office. The position is available on a full-time basis.
Primary ObjectivesAs part of a small team at Healthy Living NT you will act as the first point of contact for HLNT clients, efficiently undertake general reception and clerical duties, National Diabetes Services Scheme (NDSS) sales & administration, Healthy Living NT product sales and administration, and revenue reconciliation and banking.
All performance and conduct of duties shall be carried out in accordance with the principles of best practice, and in line with Healthy Living NT’s Guiding Values and objectives identified in HLNT’s Strategic Plan.
Position Objectives
- Effective, fair and courteous treatment of all Healthy Living NT clients
- Efficient administration of and sale of products to clients of the National Diabetes Services Scheme
- Promotion and management of Healthy Living NT product sales to people with diabetes, the health professional sector and Healthy Living NT sales outlets
- Efficient administration of Healthy Living NT’s client education services and support for Healthy Living NT’s health professionals
- Promotion and administration of Healthy Living NT Membership
- Timely and accurate preparation of income reconciliation, debtor and stock management, invoicing and assistance with end of month reports
- General duties of an administrative or public awareness nature.
Effective, fair and courteous treatment of all Healthy Living NT clients
- Efficient and courteous reception and treatment of all clients; in person, by phone, mail and fax.
- Equitable treatment of clients for whom English is not a first language.
- Accurate recording and communication of messages for staff and maintain a statistical record of all inquiries.
National Diabetes Services Scheme (NDSS)
- Efficient and accurate sale of NDSS products to people registered with the Scheme
- Registration of clients under the Scheme and recording of relevant client interactions
- Efficient and accurate data entry and associated administrative tasks in a timely manner
- Product and Stock Management with monthly stocktakes
- Revenue reconciliation and banking
- Assist with provision of monthly reports
- Provide support and training to NDSS Access Points in Alice Springs
Promotion & Management of HLNT product sales
- Efficient and accurate sale of HLNT products to people with diabetes and health professionals
- Efficient and accurate data entry and associated administrative tasks with HLNT product
- HLNT product demonstration where appropriate
- Maintain an attractive and accurate display of products etc
- Revenue reconciliation and banking on a daily and weekly basis
Client education and management service
- Efficient and accurate registration of new clients and associated data entry of client notes.
- Diary management and efficient and accurate scheduling of appointments for clients, including reminders and monitoring of non-attendance.
- Provide general administrative support to the education team.
- Provision of general information to members of the general public and referral of specific queries to Healthy Living NT’s health professionals.
- Assist with provision of monthly reports
Healthy Living NT Membership
- Promote the benefits and sale of membership to new clients, and membership renewal
- Maintain an accurate record of membership sales including revenue reconciliation.
- Data entry of membership information and issue of membership cards.
Financial Administration
- Accurately reconcile revenue for banking
- Maintain an accurate record of revenue streams and provision of end of month revenue summaries.
- Undertake invoicing of all debtors and assist with debtor management.
- Assist with information to enable the preparation of monthly financial accounts.
General duties
- Maintain an accurate record of incoming mail and postage and freight dispatches
- Ordering of office supplies and stationery
- Other administrative duties as required, including minor project work, statistics and evaluation collation etc
- Support public awareness activities at special events and forums.

It is a requirement of employment with Healthy Living NT that all employees obtain and maintain:
- a satisfactory Police Criminal check
- a Northern Territory Driver’s License.
Essential
- A mature, pleasant and confident demeanor, with an ability to deal courteously with a wide range of people and clients.
- Computer skills including word processing, data entry and excel.
- Previous experience in reception and Customer Service, preferably in a health environment.
- Ability to successfully deal with a number of tasks simultaneously, and good time management and prioritisation skills.
- Previous office administration experience.
- Previous banking, sales and stock handling experience.
- NT Drivers License
- Proven ability to work independently with minimum supervision and as part of a small team with minimum supervision.
Highly Desirable
- Qualifications or certificates in administration.
- Demonstrated aptitude to learn new systems in a short period.
