The digitization Officer in Statutory Planning assists the unit in transitioning to a digital format by scanning physical application files using Council software, maintaining high standards of record-keeping, and demonstrating flexibility and autonomy in job tasks within the parameters of the digitization project.
Key Responsibilities:
- Adhere to legislative requirements and Council policies to ensure safety for self, colleagues, and the community.
- Report any safety concerns promptly to mitigate risks to Council employees, community members, and assets.
- Implement and uphold Victorian Child Safe Standards in line with legislative requirements.
- Embrace and integrate sustainability principles into daily tasks, including protecting the environment and promoting social equity.
- Demonstrate Yarra Values of accountability, respect, and courage in all interactions with colleagues and the community.
- Carry out administrative duties in compliance with State planning legislation and records management protocols.
- Utilize Council-provided protocols, guidelines, and software applications to support decision-making processes.
- Exercise sound judgement within the parameters set by the Senior Coordinator Statutory Planning - Continuous Improvement.
- Actively participate in problem-solving discussions and contribute to continuous improvement initiatives.
- Ensure well-defined work objectives are met within specified timeframes, seeking guidance and advice as needed.
- Previous experience in a comparable role.
- Familiarity with relevant regulatory policies, procedures, and long-term unit goals.
- Proficiency in utilizing Content Manager, P&R software, or equivalent systems, or adeptness in grasping and utilizing relevant technology.
- Understanding of council operations, including staff functions, office administration, and records management practices.
- Experience working in a council department, particularly in Statutory Planning, involved in digitalization projects.
- Sound judgement and ability to adhere to legislative instructions.
- Demonstrated capability in maintaining high standards of electronic record-keeping, including records management, data entry, scanning, and collation.
- Strong computer skills, including proficiency in Content Manager or similar software.
- Capability to execute administrative tasks and meet deadlines with minimal direct supervision.
