Accountabilities include:
- Review the Project Document Control Management Plan ensuring adherence to the plan throughout the project lifecycle
- Define document management processes and support all users of the document management processes to ensure processing of documents and communications are compliant, efficiently, and timely captured.
- Continually assess the solutions provided for document and information management activities and services provide feedback for ongoing improvements
- Ensure all documents and information provided to the LGC project team are securely stored, tracked, and responded to by the relevant team members and external parties responded within relevant service levels.
- Utilise, retrieve, and update procedures, databases or information systems to ensure effective and efficient service delivery through relevant, accurate and accessible information, for example - document management systems, web pages, business directory, filing systems, updating procedure manuals, distribution or mailing lists, etc.
- Coordinate the complex review and approval processes for Program related documentation
- Develop and maintain workflows in the Document management System.
- Administration of project data sources such as Team Binder, MS Teams and SharePoint and others.
- Ensure documents generated by the LGC project are stored in compliance with the TMR and Queensland State Record Keeping Policies.
- Assist in the preparation of complex correspondence, reports, briefing notes, submissions, and other correspondence in accordance with departmental standards.
- Undertake administrative tasks required to support the control and distribution of Program documents and information.
- Provide administrative, secretariat and/or project support to committees, working groups or teams concerned with delivering or administering policies consistent with the branch business plan, and the department's strategic direction.
- Other accountabilities and tasks as reasonably directed.
This position reports to the Business Manager (Logan and Gold Coast Faster Rail) and has no direct reports.
