The Role
To conduct document control and record management duties for IPL Group within the document control Team as well support and participate in continuous improvement projects for the document and record management system.
As a part of this role, you will be responsible for but not limited to:
- Generate and analyse monthly reports for area of responsibility.
- Support and communicate with relevant stakeholders to maintain documents to the required standards, monitor and manage progress, general enquiries, and troubleshooting.
- Complete quality checks on documents, in accordance with the IPL requirements: language, style, template, format, and review periods, etc.
- Support continuous improvement of templates and team documentation suite.
- Provide training and support for the Document and Record Management System.
- Provide support for migration activities, such as data cleansing, liaising with stakeholders, completing quality reviews of metadata, etc.
- Participate in project activities as required.
About You
We are seeking a Document Controller, with experience in document control and records management, to join our vibrant team.
We are looking for enthusiastic, pro-active self-starters, with keen attention to detail. You thrive working in a collaborative and supportive team environment as well as have the ability to work autonomously as well as:
- Knowledge of document and record management (ISO Standards)
- Advanced level of Microsoft Word
- Intermediate level of Microsoft Excel
- Ability to help, coach and train system users
- Ability to engage and build strong relationships with stakeholders
- Flexible and adaptable to change
- Ability to learn and adapt quickly to new systems
- Ability to analyse data and problem solve
- Experience with records retention and archiving
