Job Summary:
We are seeking a proactive and highly organised Executive Assistant (EA) who thrives when organising and supporting a successful CEO. The ideal candidate will be a super organiser, with exceptional time management, communication, and problem-solving skills. This person enjoys working in fast paced environments, while juggling and holding accountability for multiple tasks and projects. This role is crucial to the CEO’s productivity and the overall success of Provider+.
Key Responsibilities:
- Take complete ownership of the CEO’s diary and email management, including scheduling, prioritising tasks and meetings, and ensuring all correspondence is managed effectively to maximise productivity.
- Track and action all daily tasks and delegated items, then report back to the CEO during daily huddles.
- Ensure all meetings are prepped with detailed agendas, documents, and briefing materials. Gather information, summarise key points, highlight critical issues, and provide background info to fully prepare the CEO.
- Coordinate and communicate on behalf of the CEO with internal and external stakeholders ensuring successful management of all relationships.
- Assist in the rollout and execution of projects. This includes tracking progress, coordinating with team members, and ensuring deadlines are met.
- Draft high-quality communications, including emails, reports or presentations on behalf of the CEO. Ensure communications reflect the CEO’s style and align with the company’s standards.
- Conduct thorough research and gather relevant information to support the CEO’s initiatives. This may involve summarising findings, analysing data, and providing insights to inform decision-making.
Requirements:
- 7+ years of experience as an EA supporting C-suite executives with listed responsibilities.
- Strong understanding and familiarity with Tech (Google, Microsoft Suite, Productivity Tools). Comfortable self learning new systems.
- Experience with creating and implementing protocols and frameworks for managing their CEO
- Strong communication, project management, and stakeholder relationship skills.
- Proactive, collaborative, and capable of working independently with minimal supervision, while keeping the CEO informed.
Advantageous:
- Bachelor’s degree in business administration, communications, project management or a related field is preferred but not required.
- Experience in or around the NDIS is a bonus.
- Ability to travel to Sydney CBD once or twice a month to meet with the CEO face to face.
