We are looking for an EA tothe CEO & Board Administrator

The EA tothe CEO & Board Administrator role serves as a crucial support figure for our CEO and Board. The core responsibility of the role is to provide efficient, effective, and professional administrative support directly to the CEO in addition to administration responsibilities for the Board. The aim is to enhance functional operations and cultivate a culture of continuous improvement.

As the EA tothe CEO & Board Administrator, your responsibilities include but are not limited to;

CEO

  • Organise and conduct diary meetings with the senior team and the CEO, managing invitations, requests, and scheduling guidance;
  • Coordinate travel, accommodations, and itineraries for the CEO;
  • Provide comprehensive administrative support to the CEO, including assistance on assigned projects for the Senior Management Team, and preparation of nonstandard reports, correspondence, and presentations;
  • Creation of accurate and timely agendas and minutes, overseeing reporting actions as required;
  • Support the CEO and Senior Management Team in ensuring the timely dissemination of narratives, meeting agendas, and pre-reading materials prior to scheduled meetings;
  • Parent company Board (Generation Development Group Ltd);
  • Audit Committee;
  • Life company Board (Generation Life Ltd);

Board

  • Scheduling board and committee meetings ;
    • Audit committee
    • Risk & Compliance committee
    • Remuneration Committee
    • Investment Committee
  • Preparation and distribution of Board and Committee papers and consult with various contributors to meet with timelines for circulation;
  • Minute Board and Committee meetings (both companies); 
  • Liaising with the respective Chairman re agendas and minutes;
  • Action item recording and circulating to relevant parties for action and status updates; 
  • ASIC Annual Company Reviews – check Company Statement and arrange Declaration of Solvency for GDG group companies;
  • Manage document execution and maintain Document Execution Register for each company (with Company Secretary);
  • Due Diligence Committees – as and when required – all secretarial duties which include:
    • Arrange for Board to reconvene the Committee;
    • Schedule meetings, prepare paperwork, circulate to members for each meeting;
    • Minute meetings;
    • Prepare final report to the Board recommending approval.

Receptionist

  • Reporting line for Corporate Receptionist/Office Administrator;
  • Set performance expectations and objectives for the receptionist, conducting regular performance reviews, and providing constructive feedback for continuous improvement;
  • Monitor and manage the receptionist's workload, ensuring efficient handling of tasks;
  • Foster a positive and collaborative working relationship with the receptionist, promoting open communication and addressing any issues or concerns that may arise in a timely and effective manner.

Experience and qualifications 

  • 10+ years relevant experience providing executive support to C-Suite and/or Boards;
  • Previous experience in a similar role involving the facilitation of board minutes and agendas, providing high-level support to executive-level staff and non-executive directors;
  • Proficient in communicating effectively with stakeholders, and hold a high level of confidentiality;
  • Expertise in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint;
  • Exceptional interpersonal communication skills at an executive level, characterised by high attention to detail and accuracy;
  • Advanced organisational skills, capable of managing time, work output, and priorities amidst competing tasks and tight timelines;
  • Ability to work both collaboratively within a team and autonomously;
  • Proficient in handling sensitive, political, and confidential duties;
  • Demonstrated proficiency in researching and analysing information.
